Hiring managers in every field read a cover letter to answer one question: why you, for this job. So your opening line should name the role and your best reason for fitting it, for example "I have three strengths your posting asks for, and I use them every day at work." Then prove each one briefly.

Next, match the posting. Pick the top requirements, then show where you already meet them with real examples. Also use the same key terms as the posting, because many employers scan for them. However, keep your own voice, so the letter does not read like a copy.

Then tell one proof story. Describe a time you solved a problem, helped a customer, or improved a task, and say what changed because of you. For example, a simpler checklist that cut mistakes on your shift counts as a strong story. Then connect the story to the new job, so the reader sees the same skill helping them.

Also address the letter to a named person when you can find one, because it feels more personal. Then keep the whole letter to one page, since most readers skim. However, write a new version for each job, so every letter fits its posting.

Tips that work for most cover letters:

  • Length: Keep it to three or four short paragraphs.
  • Personal touch: Mention something specific about the employer.
  • Credentials: Name any license or certificate the posting requires.
  • Proofread: Read it aloud once, because it helps you catch errors.
  • Tone: Sound friendly and confident, but stay professional.

Close by asking for an interview and saying when you are available. Thank the reader for their time, so you end on a positive note. Pick the job closest to yours from the examples below and adapt its letter.

What’s inside every letter.

Each page is written for its job, so the letter reads like a person in that role wrote it.

A complete letter

A guide to every paragraph

What each paragraph has to do, with right and wrong lines side by side.

Lines you can adapt

Openings and closings to copy, then rewrite with your own company and story.

A matching resume

How to use a cover letter example.

Borrow the structure, never the story. The letter that gets a reply is the one only you could write.

  1. Pick the closest job

Search for your title or browse your industry. Read the guide before you copy a line.

  2. Make it about this job

Change the company, the manager and the problem you will solve. Swap in your own project and numbers.

  3. Send it with your resume

Match the header and font to your resume, then run your resume through the free ATS resume checker before you send both.
