Gemini Resume Prompts: Build a Resume Gem and Edit in Google Docs
Gemini resume prompts for a reusable resume Gem, Google Docs edits, multi-job comparisons and Gmail application emails, plus the privacy settings to check.
On this pageWhat should Gemini resume prompts include?
Summary
The most useful Gemini resume prompts live in three places: a custom Gem that stores your resume rules, the Gemini side panel inside your Google Docs resume, and Help me write in Gmail for the application email. Write each prompt with a persona, task, context and format, as Google recommends for Gems. Before you start, decide between Keep Activity and temporary chats, because a subset of Gemini chats can be read by human reviewers.
Gemini resume prompts work best when you build them once and reuse them. If your resume already lives in Google Docs, you can store your rules in a custom Gem, edit sections in the Docs side panel and draft the application email in Gmail.
Below: a full Gem instruction set, Docs prompts, a multi-job comparison prompt and Gmail prompts. Every feature described comes from Google's help pages.
One decision comes first, though: where your resume data goes. That section is near the end, but read it before you paste anything.
What should Gemini resume prompts include?
Google recommends that Gem instructions cover four parts: persona, task, context and format. Apply the same four parts to every Gemini resume prompt. Name the role Gemini plays, give one task, attach the job post and your resume as context, and state the exact output you want, such as a table or three bullet options.
Google's guide to creating Gems1 says custom Gems work best with "clear, detailed instructions" covering a persona, task, context and format. That four-part frame is a reliable checklist for any one-off prompt too.
Here is the frame applied to one of the simplest Gemini resume prompts, a quick audit:
`text Persona: You are a US recruiter who screens operations roles. Task: Review my resume and name the three weakest lines. Context: My resume and the job post are attached. I have 6 years in logistics. Format: A numbered list. For each line, quote it, explain the problem in one sentence and suggest one fix. `
"Fix my resume" has a task but no persona, context or format, so Gemini guesses all three. Our prompt engineering for resumes guide covers this failure in more detail.
How do you build a reusable resume Gem in Gemini?
Open gemini.google.com, choose Explore Gems, then New Gem. Name it, paste resume-assistant instructions, add your resume under Knowledge, preview and save. Adding files from Google Drive requires Keep Activity on and Workspace connected, so weigh that against privacy before you attach your resume.
A Gem saves standing instructions so you set your rules once. Google's steps: go to gemini.google.com, click Explore Gems, then New Gem, name it, write instructions and click Save. The preview does not save the Gem on its own.
Copy these instructions into a Gem called "Resume Coach":
`text Persona: You are a resume coach for US job seekers. You are direct and specific.
Task: Help me tailor my resume for each job I bring you. Every time I share a job post, do three things in order:
- List the five requirements the employer stresses most, quoted from the post.
- Point to the resume line that proves each one, or say "no evidence."
- Suggest up to five line edits, shown as Current / Suggested / Reason.
Context: My master resume is in your knowledge files. Treat it as the only source of facts about me. Never add an employer, title, date, tool, certification or number that is not in it. If a stronger line needs a number, ask me for it.
Format: Use plain text and short tables. Keep resume bullets under 25 words, start with a past-tense verb and avoid first-person pronouns. `
Under Knowledge, you can upload files from your device or add them from Google Drive. Google notes that Drive files require Keep Activity to be on and Google Workspace connected to Gemini Apps. If you prefer not to turn Keep Activity on, upload a copy of your resume from your device instead.
Use a master resume, not your latest version
Give the Gem a longer master resume with every project and number you have. Tailored versions drop details, and the Gem cannot suggest a line it has never seen.
Check as you read
Does your resume follow these 3 rules?
All 3 rules. Next, check the words against a real job post.

Which Gemini prompts work inside a Google Docs resume?
With an eligible Google Workspace or Google AI plan, click the Gemini icon in your Docs resume and prompt it there. Type @ to pull the job post from Drive as a source, or select a bullet and use Refine options such as Rephrase, Shorten or Bulletize. Section-level prompts work better than whole-resume rewrites.
Editing in place is Gemini's clearest advantage. According to Google's guide to writing with Gemini in Docs2, you open a document, click the Gemini icon and enter a prompt. You can also move the bar to a side panel so it stays open as you work. The feature requires an eligible Google Workspace or Google AI plan.
Two features matter for resumes. First, you can add a source by typing @ and selecting a Drive file, such as a Doc holding the job post. Second, selected text gets a Refine menu with Rephrase, Shorten, Elaborate, More formal, More casual, Bulletize and Summarize.
Try these Gemini resume prompts in the Docs side panel:
`text Compare my Experience section with @Job post - Ops Manager. Which three bullets match the post least? Suggest a replacement for each using only facts already in this document. `
`text My Skills section is a long comma list. Regroup it into three labeled lines (Tools, Methods, Certifications) using only the skills already listed. Do not add new ones. `
`text Read my two most recent jobs. Flag any bullet that describes a duty instead of a result, and ask me one question per flagged bullet to find the result. `
Before: Managed inbound shipments for the regional warehouse.
After: Scheduled 120+ inbound shipments a week across 3 carriers, raising on-time dock arrivals from 82% to 95%
Use Bulletize and Shorten on single lines, not the whole document, so your formatting and voice survive.
How do you compare several job posts with Gemini?
Upload up to 10 files in one Gemini prompt, such as three job posts and your resume, then ask which keywords repeat across all of them. Repeated terms belong in your master resume. One-off terms go only into the version for that job. Each file can be up to 100 MB, far beyond a resume.
Gemini's file upload guide3 says you can upload up to 10 files in the same prompt, each up to 100 MB for non-video files. That makes it practical to compare several postings in one pass, which a single-job prompt cannot do.
`text Persona: You are a recruiter who hires for project coordinator roles. Task: Compare the three attached job posts with my attached resume. Context: I am applying to all three this week and want one strong base resume. Format: A table with columns Keyword, Post 1, Post 2, Post 3, In my resume (yes / no). Sort by how many posts mention it. Below the table, list the five keywords that appear in all three posts and are missing from my resume. `
This sorts keywords into two piles. Terms in all three posts are your field's core vocabulary, so they belong in the master resume if they are true for you. Terms in one post are tailoring material for that one application.
| Keyword appears in | What to do | Where it goes |
|---|---|---|
| All posts | Add if true, in a bullet with proof | Master resume |
| Two posts | Add to Skills if true | Master resume, lower priority |
| One post | Mirror wording only where it fits | That job's version only |
| None, but in your resume | Keep if it supports the target role | Cut first when space is tight |
For a deeper method, see how to find keywords in a job description. Then check the finished file in the Rezoom AI resume builder, to tailor the layout and wording for ATS parsing.
How do you write the application email with Gemini in Gmail?
In Gmail, click Compose, then Help me write, and describe the email you need. Refine the draft with Formalize, Friendly or Shorten. Help me write needs an eligible Workspace or Google AI plan, and on personal accounts it is restricted to the US. Always replace generic praise with one specific detail about the company.
Google's Help me write guide4 says you open Gmail, click Compose, type a prompt and click Create. The refine options are Formalize, Friendly and Shorten, and you can also type your own instruction.
Three prompts that cover most job-search emails:
`text Write a 120-word email to a recruiter applying for the Project Coordinator role (job ID [ID]). Mention that my resume is attached, name one result from my last role: [result], and ask for a 15-minute call. No exclamation marks. `
`text Draft a short message asking my former manager, [name], to refer me for [role] at [company]. Remind her of the [project] we shipped together and offer to send a two-line blurb she can forward. `
`text Shorten this email to five sentences and remove any sentence that would fit any company. `
Gemini draft: I am excited to apply for this role at your innovative company.
Edited: I am applying for the Project Coordinator role after seeing your team move its carrier onboarding to a two-week process.
For format rules, see how to email a resume. If you also need a full cover letter, our sibling guide to Claude resume prompts ends with a cover-letter handoff prompt you can adapt.
What should you never paste into Gemini?
Never paste your full address, phone, personal email, Social Security number or confidential employer data. Google says a subset of Gemini chats is read by human reviewers and asks users not to enter confidential information. Temporary chats are not used to train models or reviewed, and are kept for 72 hours.
Google's Gemini Apps privacy hub5 is direct: "Please don't enter confidential information that you wouldn't want a reviewer to see." A subset of chats is reviewed by human reviewers, and reviewed chats are kept for up to three years.
Your settings change what happens to a pasted resume. With Keep Activity on, activity auto-deletes after 18 months by default. With Keep Activity off, or in a temporary chat, chats are kept with your account for 72 hours. Temporary chats are not used to train Google's AI models.
There is a trade-off. A Gem that reads your resume from Drive needs Keep Activity on. A temporary chat protects more but forgets everything. Many job seekers use both: a Gem with a de-identified master resume, and temporary chats for anything sensitive.
Do
- Replace your name, phone and address with placeholders before uploading.
- Use a temporary chat when a draft mentions health, visa or salary history.
- Check every number Gemini adds against your own records.
Don’t
- Paste internal revenue figures or client names from a current employer.
- Upload the resume version that includes your home address.
- Assume a Gem knows facts that are not in its knowledge files.
Fresno State's career center gives the same advice from the hiring side. Its guide warns that AI may falsify or over-exaggerate information6 and tells students to remove identifying details before pasting a resume. If you are unsure how employers view AI help, read using AI in job applications.
Frequently asked questions
Is Gemini free to use for resumes?
The Gemini app has a free tier, and Google lists higher upload limits with a Google AI plan. Gemini inside Google Docs and Help me write in Gmail require an eligible Google Workspace or Google AI plan.
Can Gemini read my resume directly from Google Drive?
Yes, through Add from Drive or by typing @ in Docs. In the Gemini app and in Gems, Drive access needs Keep Activity on and Google Workspace connected to Gemini Apps.
What is a Gem in Gemini?
A Gem is a custom Gemini assistant you set up with saved instructions and optional knowledge files. You create one at gemini.google.com under Explore Gems, then New Gem.
Are these Gemini resume prompts different from ChatGPT prompts?
The logic is similar, but these prompts are built around Gems, Docs and Gmail. For a chat-first set, see our ChatGPT resume prompts.
Can recruiters tell my resume was edited with Gemini?
Generic phrasing is the usual giveaway, not the tool. Keep your own wording, add specific numbers, and cut adjectives that any candidate could claim.
Does Gemini keep my resume after I delete the chat?
Google says chats with Keep Activity off or temporary chats are kept for 72 hours, and reviewed chats can be kept for up to three years. Check the privacy hub for current details.
