Summary

A project coordinator resume is a one to two page document showing the artifacts you owned on a project: the schedule you maintained, the status pack you produced, the actions and risks you tracked and chased, and the meetings and documents you controlled. This guide gives you three adaptable versions and current Bureau of Labor Statistics pay and outlook for the published occupation the role sits inside.

Project Coordinator resume examples by experience level

A project coordinator resume is a one to two page document showing what you produced on a project: the schedule you kept accurate, the status pack that went out on time, the actions and risks you chased, and the meetings and documents you controlled.

It is a support role, and the resume works best when it stops pretending otherwise. Somebody else signs the business case, approves a change, commits the budget and decides what happens when a milestone is at risk. What a coordinator owns is whether anyone knows the truth about the project on a Thursday afternoon, and that matters enormously.

The failure mode is a resume that borrows the project manager's vocabulary. Baselines, variance at close and change control approval belong to the person who held them, and a reader who spots the borrow discounts the whole page. Our project manager resume example is written for that role; this page is for the person who made it possible to run one.

Resume guide for a project coordinator resume

This guide and the corresponding project coordinator resume example will cover:

  • How to write a project coordinator resume, section by section
  • The artifacts block: what you produced, for whom, and how often
  • Three adaptable summaries: first coordination role, practicing and portfolio
  • The difference between chasing a decision and making one, and how to write it
  • What the job market looks like and what coordinators can expect to earn

How to write a project coordinator resume

Six sections: contact header, summary, the artifacts block, experience, skills and tools, and education and certifications. One page for your first four or five years, two once you support a portfolio rather than a project.

A project manager hiring a coordinator is filling a gap they can describe precisely: the schedule is out of date, the status pack is late, nobody knows which actions are overdue, and the risk register has not been touched since kickoff. They are reading to see whether you have fixed those things somewhere else.

Artifacts blockWhat did you produce, for whom, how often, and how big was it?Directly under the summary

Expert Tip

Volume and cadence are how a coordinator shows scale

A project manager proves scale with budget and duration. A coordinator has neither, so the equivalent comes from volume and cadence, and most coordinator resumes give neither.

Count the things. Lines in the schedule and how many people fed it. Pages in the status pack, to how many recipients, how many hours after the checkpoint. Open actions across how many owners. Items on the risk register. Governance meetings a week, and how long minutes took to go out.

"Maintained a 640-line schedule updated weekly from 9 workstream leads, and issued a 14-page status pack within 4 hours of the Thursday checkpoint" places you immediately. "Provided administrative support to project teams" places you nowhere.

Run the finished file through the free ATS resume checker before you send it, since coordinator roles attract very high application volumes and are screened by software first.

Choosing the best resume format for a project coordinator resume

Reverse chronological. One page until you are supporting a portfolio, then two.

The single most useful formatting choice is to name the projects you supported under each employer, with size and duration, as a short list rather than as prose. A coordinator who supported a twelve-month, nine-workstream migration has done a different job from one who supported three small office moves, and only the list shows it.

Keep the list to size, duration and your role on it, and resist adding outcomes that were not yours.

Three numbers under the name and the reader knows what size of operation you can hold. The credential belongs there too if you have it, because many coordinator postings list it and applicant systems screen on it.

Make use of a summary

Four lines: the setting and how many projects, the artifacts you own, one number that improved because of how you ran them, and the boundary of the role.

First project coordination role adaptable resume summary example

Practicing project coordinator adaptable resume summary example

Project coordinator supporting 3 concurrent business change projects in a regional insurer, owning the schedule, the weekly status pack, the action log and the risk and issue register on each. Maintain a 640-line schedule updated weekly from 9 workstream leads and issue a 14-page pack to the sponsor and 5 functional leads within 4 hours of the Thursday checkpoint. Took average age of an open action from 19 days to 6 and closed out 12 risk register items that had carried no named owner since kickoff.

Portfolio project coordinator adaptable resume summary example

Senior project coordinator in a change portfolio office supporting 11 live projects and a monthly portfolio board. Built the consolidated reporting pack and the dependency view that replaced 11 separate status documents, which cut pack preparation from three days to six hours and gave the board one version of the schedule for the first time. Trained 5 coordinators on the reporting standard. Chase decisions and hold the register; sponsors and project managers make the calls.

Right vs wrong: the same project coordinator summary, twice

Adaptable resume employment history example

Project Coordinator, Change Portfolio, Marlbury Mutual Insurance, Hartford, CT, February 2023 to Present

Support 3 concurrent business change projects in a regional insurer: a 14-month policy administration migration across 9 workstreams, an 8-month claims intake redesign and a 5-month office consolidation.

Own the schedule on each, including a 640-line Microsoft Project plan updated weekly from 9 workstream leads, with a published Tuesday cutoff and a Wednesday reconciliation against actual completions.

Produce the 14-page weekly status pack for the sponsor and 5 functional leads within 4 hours of the Thursday checkpoint; the pack had previously been issued the following Monday.

Run the action log and the risk and issue register across all 3 projects. Average age of an open action fell from 19 days to 6, overdue actions from 34 percent to 8 percent, and 12 register items with no named owner since kickoff were closed or reassigned.

Service 6 governance meetings a week, issuing minutes within 24 hours with every decision logged against its date and approver, and keep 430 project documents under one naming and version standard.

Write the artifacts you owned, and the line between chasing and deciding

This block wins a project coordinator resume, and it takes four short lines under the summary. The role has no budget and no sign-off, so the evidence is the things you produced and the state you kept them in.

The artifacts. Name each document you owned and put a number on it. The schedule: how many lines, in what tool, updated from how many contributors, on what cutoff. The status pack: how many pages, to how many recipients, how long after the checkpoint. Then the action log, the risk and issue register, the decision log, the minutes, the document library.

The cadence. Projects run on a weekly rhythm and a coordinator is the metronome. Say how many meetings you service a week, what you produce from each and how fast, and what the cutoff is for other people's inputs.

The chase. This is the actual job and almost nobody writes it. You extract information from people who do not report to you, week after week, without becoming the person they avoid. Write it as a mechanism and a measure: the cutoff, how you escalate a missed one, and what happened to the overdue rate. "Chased 61 open actions a month across 9 owners; average age fell from 19 days to 6" is evidence of a skill that is hard to hire for.

The boundary. Say plainly what you chased and what you decided. A coordinator chases a decision, prepares the options, holds the register and puts the item in front of the person who decides; a coordinator does not approve a change, commit a budget line, reassign a resource or re-baseline a plan. Writing that boundary is what makes a reader believe the rest.

Adaptable resume artifacts block example

Artifacts owned: 640-line Microsoft Project schedule across 9 workstreams; 14-page weekly status pack; action log of about 61 open items across 9 owners; 47-item risk and issue register; decision log; minutes for 6 governance meetings; 430-document library under one version standard.

Cadence: Tuesday cutoff for workstream updates, Wednesday reconciliation, Thursday checkpoint, pack out within 4 hours, minutes within 24 hours.

The chase: published cutoff, a Wednesday reminder naming only the outstanding owners, escalation to the project manager on a second miss. Overdue actions 34 percent to 8 percent; average action age 19 days to 6.

Boundary: chase, prepare and log. Change approval, budget commitment, resource assignment and re-baselining sit with the project manager and the sponsor.

Expert Tip

Chasing a decision is a skill; write it like one

The hardest part of coordination is getting an answer out of someone senior who is busy, and interviewers ask about it directly.

Write it as a method rather than as persistence. A good chase has four parts: a published cutoff everyone agreed to, a reminder naming only what is outstanding, a stated consequence that is about the project rather than the person, and an escalation route the project manager knew about before you used it. Then attach the number: overdue rate, average age of an open item, or decisions that reached the governance meeting with options already prepared.

One caution. Describe the process and the volumes, never an individual. Nothing about who was late or why. The skill on display is that you get answers, not that you can name the people who were slow.

Build a snapshot of your key skills

Ten to fourteen entries in three groups: the project controls you run, the reporting work, and the tools. Tools matter more here than in most roles, because a coordinator is expected to be productive in them in week one.

Adaptable resume skills example

Project controls: Schedule maintenance and critical path updates, Action and decision logging, Risk and issue register administration, Dependency tracking, RAID maintenance, Document control and version management, Meeting and governance administration

Reporting: Weekly status pack production, Consolidated portfolio reporting, Milestone and progress reporting, Minute taking and decision capture, Stakeholder distribution lists

Tools: Microsoft Project, Smartsheet, Jira, Confluence, SharePoint, Microsoft Excel, Power BI, Microsoft Teams

List your education and certifications

Degree, institution and year, then the certification with its issuing body and year. The entry-level project credential is worth holding early: many coordinator postings ask for it, and it signals that you intend to move into delivery.

Adaptable resume education and certifications example

Bachelor of Arts, Communication, University of Connecticut, Storrs, CT, 2021

Certified Associate in Project Management (CAPM), Project Management Institute, 2023, current through 2026

Working toward the 36 months of leading projects required for the Project Management Professional pathway

The Certified Associate in Project Management requires a secondary degree such as a high school diploma or GED, an applicant at least 18 years old, and at least 23 hours of project management education before the exam. It is 150 questions in 180 minutes, of which 135 are scored and 15 are unscored pretest items, weighted Project Management Fundamentals and Core Concepts 36 percent, Predictive and Plan-Based Methodologies 17 percent, Agile Frameworks and Methodologies 20 percent, and Business Analysis Frameworks 27 percent. Holders renew with 15 professional development units every three years (Project Management Institute, accessed 13 September 2026).

Choose the right layout and design

Single column, 11 or 12 point, plain headings, no photograph, no graphics. Keep the artifacts block on the top half of page one, and save as solenne-beaulieu-project-coordinator-resume.pdf. Resist the urge to demonstrate tool skills with a Gantt chart image or a dashboard screenshot: portals parse them as nothing, and a hiring project manager would rather read the cadence than look at a picture of one.

Do

Put a number on every artifact: schedule lines, pack pages, open actions, register items, documents. Give the cadence, including how many hours after the checkpoint the pack goes out. Name the projects you supported with size and duration. Write the chase as a method with a measure attached, and state clearly what you chased and what somebody else decided.

Iconly/Bold/Close Square Don’t

Do not claim the project's outcome as your result, and do not use baseline, variance or change approval language for work you did not own. Do not write "provided administrative support" anywhere. Do not name anyone who was late with an input. Do not pad the page with meetings attended.

Statistical insight

The federal profile for this work opens with the word coordinate

The published occupation a project coordinator sits inside is project management specialists, and the Occupational Outlook Handbook describes it in one sentence: "Project management specialists coordinate the budget, schedule, and other details of a project." Its duty list includes producing and distributing project documents (U.S. Bureau of Labor Statistics, Occupational Outlook Handbook, published 27 August 2026).

That occupation had a median annual wage of $102,320 in May 2025, with the lowest 10 percent under $61,580 and the highest 10 percent over $167,970 (BLS Occupational Outlook Handbook, May 2025). Coordinator roles sit in the lower part of that range, and the published entry requirements are a bachelor's degree with no prior work experience.

Employment stood at 1,094,300 in 2025 and is projected to reach 1,167,400 by 2035, a rise of 7 percent that the Handbook calls much faster than average, with about 76,500 openings a year (BLS Occupational Outlook Handbook, 2025 to 2035 projections).

Two things follow. The federal description of the work is coordination and documents, so writing yours around artifacts is the accurate framing rather than a modest one. And the route from the bottom decile to the median runs through owning things rather than assisting with them.

Project coordinator job market and outlook

The Bureau of Labor Statistics publishes no separate Occupational Outlook Handbook profile for project coordinator. The closest published occupation is project management specialists, whose profile makes no distinction between coordinator, specialist and manager titles.

Two other published measures matter, because coordinators are often classified in them instead.

Source: U.S. Bureau of Labor Statistics, Occupational Outlook Handbook, May 2025 wage data and 2025 to 2035 projections, including the Handbook's Data for Occupations Not Covered in Detail table, which publishes employment, projections and medians but no annual openings and no wage percentiles.

No prior experience is listed as typical for entry, which is unusual and worth using: a coordinator job is a genuine entry point into delivery, and that is why these postings are so heavily contested. The artifacts block is how a file gets out of that pile.

What salary you can expect as a project coordinator

The published occupation had a median annual wage of $102,320 in May 2025, or $49.19 an hour, with the lowest 10 percent under $61,580 and the highest 10 percent over $167,970 (BLS Occupational Outlook Handbook, May 2025). A coordinator title sits in the lower part of that distribution, because the median includes project managers carrying budgets a coordinator does not hold.

Three things move you up it, and the first two are on your resume rather than in the negotiation. Portfolio breadth is the largest: supporting 11 projects and a board is a different job from supporting one. Tool depth is second, particularly a resource-loaded schedule in Microsoft Project or a well-built Smartsheet reporting layer, because the alternative is paying a project manager to build it. Sector knowledge is third: a coordinator who knows how policy administration, clinical trials or construction handovers work stops being interchangeable.

Read the published figure for what it measures. The federal wage survey collects straight-time gross pay and excludes overtime, shift differentials, non-production bonuses, year-end bonuses and profit-sharing (BLS, Occupational Employment and Wage Statistics survey documentation, accessed 13 September 2026).

Project coordinator resume questions, answered

How long should a project coordinator resume be?

One page for your first four or five years. Two once you support a portfolio, a board, or several coordinators working to a standard you wrote. If page two is a longer list of meetings and documents, it is not earning its place; the artifacts block already made that point with numbers.

What is the difference between a project coordinator and a project manager?

Ownership. A project manager holds the plan, the budget and the commitment to deliver, and answers for variance against them. A coordinator keeps the instruments accurate and the information moving: the schedule, the pack, the logs, the documents and the meeting rhythm. The honest way to show overlap is to name the specific thing you owned rather than adopt the manager's vocabulary. Start from the [project manager resume example](/resume/project-manager/) when you apply for that role.

How do I write results when the project outcome was not mine?

Claim your own outputs and their measures: overdue actions falling from 34 percent to 8 percent, a pack moving from Monday to Thursday, an average action age halving, a register with no unowned items. Those are results, they are yours, and they are what a project manager most wants in the next person they hire.

What do I put on a project coordinator resume with no project experience?

Write the coordination you have already done under another title. Administrators, executive assistants, office managers and analysts run schedules, chase actions, take decisions to meetings and control documents constantly. Give each one a volume and a cadence. Add the entry-level credential, which needs a secondary qualification, an applicant at least 18 and 23 hours of project management education before the exam (Project Management Institute, accessed 13 September 2026), and name the tools you can already work in.

Should I list every project I have supported?

No. Name four to six that are closest in size, sector and type to the posting, each with its duration and the number of workstreams or sites, then summarize the rest in a line. A complete list reads as an inventory; a selected list reads as someone who read the posting.

Is the coordinator title a dead end?

Not in this occupation. The published profile for project management specialists lists no prior work experience as typical for entry and notes that specialists advance to more senior positions as they gain experience (BLS Occupational Outlook Handbook, published 27 August 2026). The practical route is to take ownership of one artifact at a time until you are holding a plan rather than maintaining one, and to write each transition down as it happens.
