Summary
A real estate coordinator resume is a one to two page document built on the contract to close timeline: how many live files you carry, how many you close a month, how many fall out, and which dates you own. This guide gives you three adaptable versions, a worked critical path calendar, and current Bureau of Labor Statistics pay and outlook data.
Real Estate Coordinator resume examples by experience level
A real estate coordinator resume is a one to two page document that answers two questions a team lead asks in the first ten seconds: how many live files can this person carry at once, and do they know every date on the critical path.
Everything else is secondary. A coordinator is hired because a brokerage loses money in one repeatable way: a file falls out of contract, or a deadline slides, and a closing scheduled for the 28th funds the following month or not at all.
Resume guide for a real estate coordinator resume
This guide and the corresponding real estate coordinator resume example will cover:
- How to write a real estate coordinator resume, section by section
- The contract to close timeline you own, date by date
- Three adaptable summaries: transaction assistant, coordinator and closing operations manager
- The four numbers that decide this hire: live files, closings a month, fall-through rate, on-time close rate
- What the market looks like and what you can expect to earn
How to write a real estate coordinator resume
Six blocks: a contact header with the title the posting uses, a summary carrying your file load, work history with volumes, a transaction systems block, education and certifications, and skills. One page for your first five or six years, two once you run a team.
| Block | What it is answering | Where it goes |
|---|---|---|
| Summary | How many live files, how many closings, how many fell out? | Top of the page, four lines |
| Work history | Which parts of the timeline did they own? | Reverse chronological, a number per bullet |
| Transaction systems | Can they be put on our platform this week? | Its own block, named products |
| Critical path record | Do they know the dates, and have they missed one? | Inside the systems block |
The systems block matters more here than in most administrative work. A brokerage runs one transaction management platform and one forms library, and a coordinator who knows both starts taking files in week one rather than week five.
Run the finished file through the free Rezoom ATS resume checker first. Brokerage and title postings attract high volumes, and the parse happens before a person reads a word.
Choosing the best resume format for a real estate coordinator resume
Reverse chronological, single column. One page until you have about six years or a team, then two.
The reader is checking volume and continuity: which brokerage, how many agents behind you, how many files, how long you stayed. A functional format hides exactly that, and in a job whose claim is "I can carry 30 files without dropping one", that reads as a timeline worth hiding.

Use the posting's own title under your name. Transaction coordinator, closing coordinator, listing coordinator and real estate coordinator are often the same job advertised four ways, and matching the wording is the cheapest edit on the page.
Make use of a summary
Four lines: the file load, the closings you produce, one quality number, and the platform you run.
Transaction assistant with 18 months in a 24 agent Phoenix brokerage, carrying 12 to 16 live files at a time and closing 9 to 11 a month alongside a senior coordinator. Keep the critical path current in Dotloop from effective date through earnest money receipt, inspection period, appraisal and closing disclosure delivery, with 96% of files closing on or before the contract close of escrow date. Commissioned Arizona notary public, working administrative and coordination scope only.
Real estate transaction coordinator running 28 to 34 live files at once for a seven agent team in Phoenix, closing 22 to 26 a month and 268 files last year. Own the critical path on every file from effective date to funding, with 97% closing on or before the contract close of escrow date and a fall-through rate of 4% against the 7% of contracts terminated nationally (National Association of Realtors, Realtors Confidence Index Survey, August 2026). Run SkySlope and Dotloop and the Arizona Association of Realtors forms library.
Closing operations manager for a 61 agent brokerage, running four coordinators across 1,140 closed files a year and 96 to 120 live files at any time. Rebuilt the date calendar and file audit so on-time closes moved from 89% to 97% and fall-through fell from 8% to 4% over two years, with no missed closing disclosure delivery deadline in 1,900 consecutive files. Own the brokerage's Brokermint build, the compliance checklist and the coordinator training program.
Right vs wrong: the same real estate coordinator summary, twice
| ✅ Right | ❌ Wrong |
|---|---|
| Real estate transaction coordinator running 28 to 34 live files at once for a seven agent team. | Detail oriented real estate coordinator with strong organizational skills. |
| Closing 22 to 26 files a month, 268 files last year. | Experienced in supporting agents through the closing process. |
| 97% closing on or before the contract close of escrow date, fall-through rate of 4%. | Excellent at managing deadlines and keeping transactions on track. |
The right column can be staffed against a pipeline. A team lead with 14 pending files and a coordinator leaving in three weeks is doing arithmetic, and the wrong column gives them nothing to do it with.
Outline your real estate coordinator experience
Brokerage or title company, how many agents sat behind you, your title and dates. Then three to five bullets, each naming a part of the timeline you owned and carrying a volume, a rate or a cycle time.
| Instead of | Use |
|---|---|
| Managed transactions from contract to close | Carried 28 to 34 live files at once and closed 268 in 2025 for a seven agent team |
| Maintained transaction files and documentation | Audited every file in SkySlope against a 19 item broker checklist, zero exceptions in 268 files |
| Communicated with all parties | Issued a written date calendar to buyer, seller, lender, escrow and title on day one, then Monday and Thursday updates |
| Tracked deadlines and contingencies | Held the inspection, loan commitment, appraisal and closing disclosure dates, 97% closing on or before the close of escrow date |
| Helped reduce deal fall-through | Cut fall-through from 8% to 4% in two years by moving earnest money receipt and loan application confirmation to a 48 hour rule |
Real Estate Transaction Coordinator, Palo Verde Crest Realty, Phoenix, AZ, August 2024 to Present
Carry 28 to 34 live files at a time for a seven agent resale team, closing 22 to 26 a month and 268 files in 2025.
Own the critical path on every file: effective date, earnest money receipt, inspection period and notice response window, appraisal, title commitment review, loan commitment, closing disclosure delivery, final walkthrough, signing and funding.
Hold on-time closing at 97% against the contract close of escrow date, with fall-through at 4% of files.
Run SkySlope as the file of record and Dotloop for signature in the Arizona Association of Realtors forms library; built the date calendar template the other two coordinators now use.
Clear the broker compliance checklist before submission: 19 required documents per file, zero audit exceptions across 268 files in 2025.
Give volume in the unit the reader buys in: pending files and closings a month for a team lead, files per coordinator for an operations director.
The contract to close timeline a real estate coordinator owns
This is the section that separates a coordinator resume from an administrative one, and almost nobody writes it.
A coordinator is hired on whether they know the dates: not that deadlines exist, which every candidate says, but the sequence, who each date depends on, and which one quietly kills a file when it slips.
The critical path, in order
| Milestone | Depends on | Why it kills files |
|---|---|---|
| Effective date | Final signature and delivery | Every other date counts from here |
| Earnest money receipt | Buyer funding, escrow receipting | An unreceipted deposit is a breach argument |
| Loan application and Loan Estimate | Buyer applying with the lender | Starts the lender clock |
| Inspection period and notice response | Inspections, then the seller response window | The commonest cancellation point |
| Appraisal order and delivery | Lender, appraiser, the value | The classic reason a file closes late |
| Title commitment review | Title company issuing the commitment | Requirements, exceptions and payoffs surface here |
| Loan commitment or clear to close | Underwriting, conditions cleared | The closing date becomes real here |
| Closing Disclosure delivery | Lender issuing it to the consumer | A federal timing rule, not a courtesy |
| Final walkthrough | Repairs complete, property as agreed | Late repairs move the signing date |
| Signing, funding and recording | Escrow, lender wire, county recorder | Where a Friday close becomes Monday |
Two of those dates are set by federal rule rather than by the contract, and naming them correctly is a credibility signal. Regulation Z requires the creditor to deliver or mail the Loan Estimate not later than the third business day after receiving the consumer's application, and not later than the seventh business day before consummation (12 CFR 1026.19(e)(1)(iii)). For the Closing Disclosure the rule is that the creditor "shall ensure that the consumer receives the disclosures required under paragraph (f)(1)(i) of this section no later than three business days before consummation" (12 CFR 1026.19(f)(1)(ii)(A), checked 12 September 2026).
The contract supplies the rest, and the day counts are state and form specific. Under the Arizona Association of Realtors resale contract the seller responds within five days after delivery of the buyer's notice of items disapproved, the buyer may cancel within five days after that response or after the time for it expires, and agreed repairs with paid receipts reach the buyer three days before the close of escrow date unless another number is specified (Arizona Association of Realtors contract guidance, checked 12 September 2026).
Write the file load as a range, with a closing count attached
"Managed multiple transactions" is the most common line on a coordinator resume and it is worth nothing, because the number is the job.
Write two figures together: the files you carry at once and the files you close a month. "28 to 34 live files at a time, 22 to 26 closings a month" tells a team lead whether you can absorb their pipeline. One figure without the other is ambiguous.
Then add the two quality numbers: the share of files that closed on or before the contract close of escrow date, and the share that fell out. If you have never measured either, count the last 40 files this week.
The four numbers
| Number | How to write it | What it proves |
|---|---|---|
| Concurrent live files | 28 to 34 at a time | Capacity to take their pipeline |
| Closings per month and year | 22 to 26 a month, 268 in 2025 | Throughput and brokerage size |
| Fall-through rate | 4% of files, 2025 | Files survive contact with you |
| On-time close rate | 97% against the close of escrow date | The dates are actually managed |
Fourteen percent of contracts settle late and seven percent never settle at all
In the August 2026 Realtors Confidence Index Survey, contracts typically closed in 30 days, 14% of contracts had delayed settlements in the past three months, 7% of contracts were terminated in the last three months, and 6% of contracts were delayed due to appraisal issues (National Association of Realtors, Realtors Confidence Index Survey, August 2026, published 10 September 2026).
Those are the national numbers your own rates are read against, and the comparison is what turns your figure into evidence rather than a claim.
They also tell you which dates to name. Appraisal is the largest published reason for delay, so a file that tracks the appraisal order date, the delivery date and the reconsideration route is showing you manage the biggest measurable risk in the transaction.
The systems, by product name
Name the platform, not the category. A brokerage runs one of a short list and reads for it directly.
Transaction management: SkySlope as file of record, 268 files in 2025. Dotloop for signature and sharing. Brokermint for commission disbursement and reporting. Previously Dotloop only, 2023 to 2024.
Forms library: Arizona Association of Realtors residential resale contract and addenda, including the buyer inspection notice and seller response, loan status update and close of escrow addenda. Arizona Regional Multiple Listing Service for listing input and status changes.
Dates held on every file: effective date, earnest money receipt, loan application and Loan Estimate, inspection period and notice response window, appraisal order and delivery, title commitment review, loan commitment, Closing Disclosure delivery, final walkthrough, signing, funding and recording.
Compliance and reporting: 19 item broker file checklist, seller property disclosure and lead based paint disclosure tracking, wire fraud advisory issued at file open, zero audit exceptions across 268 files in 2025. Weekly pipeline report by stage with days to close.
One boundary is worth a single line on the page and no more. A coordinator without a license may not advise on price or negotiate terms; only a licensed agent may. State it in six words in your scope line and move on. Our real estate assistant resume example covers that question in full.
Build a snapshot of your key real estate coordinator skills
Twelve to sixteen entries in four groups, weighted toward dates, documents and platforms.
Transaction management: Critical path and date calendar management, Contract and addenda review for completeness, Earnest money receipt tracking, Contingency and deadline tracking, Close of escrow scheduling
Platforms: SkySlope, Dotloop, Brokermint, Arizona Regional Multiple Listing Service, Google Workspace, Microsoft 365
Documents and compliance: State and association forms libraries, Seller property disclosure, Lead based paint disclosure for pre-1978 housing, Wire fraud advisory, Broker file audit checklists, Closing Disclosure timing
Coordination and reporting: Lender, title and escrow follow up, Written status updates to all parties, Pipeline reporting by stage, Repair and walkthrough coordination, Signing and funding logistics
The second and third groups shorten your onboarding, which is the argument for hiring you over a stronger generalist.
List your education and certifications
Short section, and not one to pad. Coordination itself requires no license, so what belongs here is verifiable: a notary commission, platform training, pre-licensing coursework.
Notary Public, State of Arizona, commission #AZ-418276, first commissioned 2023, current commission through 2027
Bachelor of Science, Business Administration, Arizona State University, Tempe, AZ, 2026, completed part time while working full time
Associate of Applied Science, Business Administration, Glendale Community College, Glendale, AZ, 2022
Coursework: Arizona Department of Real Estate approved salesperson pre-licensing course, completed 2026. Platform training in SkySlope and Brokermint, completed at brokerage onboarding.
Training: Fair housing and advertising compliance, annual. Wire fraud awareness, annual.
If you completed a degree part time while carrying a file load, say so. It answers a question about capacity without you making a claim about yourself.
Choose the right layout and design
Single column, 11 point type, clear headings, no photograph, no rating bars. PDF named for yourself and the role.
Keep the volume numbers where the eye lands: in the summary and at the start of each experience bullet. A reader scanning forty coordinator resumes is looking for two digits and a percentage.
Give file load as a range and closings as a monthly and annual figure. Name your on-time close rate and fall-through rate with the period attached. List the dates you hold, in order, in the contract's own words. Name the platform and forms library by product. State your scope in one line if you are unlicensed.
Do not write "managed multiple transactions" when the number is the whole claim. Do not describe the closing process in general terms; describe the dates you held. Do not claim a platform you have only seen demonstrated. Do not imply you advised on price or negotiated terms if you are not licensed.
Real estate coordinator job market and outlook
There is no separate federal occupation called real estate coordinator. Pay and outlook come from secretaries and administrative assistants, where the Bureau of Labor Statistics counts the work; the sector it sits in is counted under real estate brokers and sales agents.
| Measure | Value |
|---|---|
| Secretaries and administrative assistants, jobs 2025 | 3,515,600 |
| Projected change, 2025 to 2035 | -2% (decline), about 75,300 |
| Projected annual openings | About 314,400 |
| Median annual wage, May 2025 | $48,310 |
| Legal secretaries and administrative assistants, median May 2025 | $55,570 |
| Executive secretaries and executive administrative assistants, median May 2025 | $76,590 |
| Typical entry-level education | High school diploma or equivalent |
Source: U.S. Bureau of Labor Statistics, Occupational Outlook Handbook, 2025-35 projections and May 2025 wage data.
The sector behind the desk looks different. Real estate brokers and sales agents numbered 530,600 jobs in 2025, projected to grow 2 percent through 2035, a change of about 8,300, with roughly 40,400 openings a year and a median annual wage of $57,400, or $27.59 an hour, as of May 2025 (Bureau of Labor Statistics Occupational Outlook Handbook, 2025 to 2035 projections and May 2025 wage data).
Read together, the market is straightforward. Administrative employment is shrinking while producing enormous replacement hiring, brokerage is growing slowly, and transaction complexity is doing neither. The last of those is what your resume sells.
What salary you can expect as a real estate coordinator
Secretaries and administrative assistants had a median annual wage of $48,310 as of May 2025, the lowest 10 percent under $35,360 and the highest 10 percent over $77,720 (Bureau of Labor Statistics Occupational Outlook Handbook, May 2025). That is the band a coordinator role is priced inside.
Industry placement moves it: for the same occupation the May 2025 medians ran $54,250 in government, $54,080 in professional, scientific and technical services and $46,290 in healthcare and social assistance (same source). Specialization moves it further, with the legal detail at a median of $55,570 and the executive detail at $76,590 (same source). You are paid more for a narrower, more regulated file.
Three things on the page move an offer inside that band, and all three are numbers. File load is the first. Quality is the second: a 97 percent on-time rate and a 4 percent fall-through rate are worth real money to a brokerage that recognizes revenue at funding. Scope is the third and largest, and owning the checklist, the platform build and a team of coordinators is the move from the general detail of the occupation toward the executive one, a gap of about $28,000 a year as of May 2025.
Employed coordinators are normally paid hourly or salaried, sometimes with a per-file fee. State commissions restrict transaction-based pay to licensees, so read a commission split offered to an unlicensed coordinator as a question about the brokerage.
Key takeaways for a real estate coordinator resume
- Lead with the file load: live files carried at once and closings a month.
- Add the on-time close rate and the fall-through rate, with the period attached.
- List the dates you hold, in contract order, in the contract's own words.
- Name the platform and the forms library by product, not by category.
- Get the federally timed disclosures right; they are the fastest credibility check.
- State your scope in one line if you are unlicensed.
- Show the process you built, because that is what turns a coordinator into an operations hire.

Real estate coordinator resume questions, answered
How long should a real estate coordinator resume be?
One page for your first five or six years. Two once you run a team or own a brokerage's platform build and compliance process. Length is not the signal here; the four numbers are.
What if I have never measured my fall-through or on-time close rate?
Measure it before you apply. Take your last 40 closed files, count how many closed on or before the contract close of escrow date and how many canceled, and write both with the period attached. It takes an afternoon in your platform and it is the difference between a claim and evidence.
Do I need a real estate license to be a transaction coordinator?
Not for coordination work itself. An unlicensed coordinator may not advise on price or negotiate terms, which only a licensed agent may do, so a license buys a wider task list and a higher rate rather than permission to coordinate.
Which transaction management platform should I put on my resume?
All of them you have actually run files in, named by product with the file count attached: SkySlope, Dotloop, Brokermint or whichever your brokerage uses. Then name the forms library, because a coordinator already working in the state association's contract and addenda needs no training on the documents.
How do I write this resume with no brokerage experience?
Write the transferable part in the same units. Escrow assistant, title processor, mortgage loan coordinator and paralegal work all produce a file load, a deadline set and an audit result. Give the volume, the dates you held and the exception rate, and learn the contract to close sequence and one platform before the interview.
