Ms. Imelda Fuentes Team Operations Canyon Wren Realty Group Phoenix, United States

Application for Transaction Coordinator, Canyon Wren Realty Group

Dear Ms. Fuentes,

I am applying for the Transaction Coordinator post with the Canyon Wren resale team. I carry 28 to 34 live files at a time and closed 268 last year for a seven agent team, holding the critical path on every one myself: effective date, earnest money receipt, inspection period, appraisal, title commitment review, loan commitment, closing disclosure delivery, funding and recording.

The number worth checking is the on-time rate. Ninety-seven percent of my files closed on or before the contract close of escrow date last year, and fall-through was 4 percent, down from 8 percent two years ago. That drop came from one change rather than from effort: I moved earnest money receipt and lender application confirmation to a firm 48 hour rule after the effective date, so a file that was going to have a problem surfaced it in week one rather than week four. The broker audit found no exceptions across 268 files.

Your posting names SkySlope and the Arizona Association of Realtors forms library, which is what I run now, so I would be taking files in my first week rather than learning a platform. You are carrying West Valley listings as well as central Phoenix, which usually means two different sets of municipal and HOA lead times, and I would build those into the date calendar rather than meet them at the walkthrough. I would also take over the weekly pipeline report.

My scope is administrative and coordination only: I do not advise on price or negotiate terms, and I am paid hourly rather than per transaction. I have completed the state approved salesperson pre-licensing course if you would prefer a licensed coordinator. I could start on two weeks' notice. Thank you for your time.

Sincerely, Lavinia Strathmore

Summary

A real estate coordinator cover letter says how many live files you can carry, how many closings that produces, and which dates on the contract to close timeline you hold. This guide gives you a full adaptable letter, the four numbers that belong in it, and how the letter changes between a brokerage, a producing team and a title company.

Real Estate Coordinator cover letter examples by experience level

A real estate coordinator cover letter is a one page letter telling a team lead or designated broker how many live files you can carry, how many closings that produces a month, and which dates on the contract to close timeline you hold yourself.

Nothing else does much work. The person reading it has a pipeline with a number in it and a desk that is either empty or about to be, and they want to know whether your desk was bigger than theirs.

Expert Tip

Open with the two numbers that describe your desk

A team lead hiring a coordinator is working out whether you can absorb their pending files without anything falling out of contract in the handover.

So lead with the size of the desk you hold now: "I carry 28 to 34 live files at a time and close 22 to 26 a month for a seven agent resale team." That sentence does the whole job of a first paragraph. Then add the quality number in the same breath: the share of files that closed on or before the contract close of escrow date, and the share that fell out.

Dear Ms. Fuentes,

Put the dates you hold in the first paragraph

Anybody can say they manage deadlines. A coordinator proves it by naming the sequence, in contract order, in one sentence: effective date, earnest money receipt, loan application, inspection period and the notice response window, appraisal order and delivery, title commitment review, loan commitment, Closing Disclosure delivery, final walkthrough, signing, funding and recording. A reader who runs files for a living knows in four seconds whether that came from experience.

Two of those dates are federal rather than contractual. Regulation Z requires the creditor to ensure the consumer receives the Closing Disclosure no later than three business days before consummation (12 CFR 1026.19(f)(1)(ii)(A)) and the Loan Estimate no later than the seventh business day before consummation (12 CFR 1026.19(e)(1)(iii), checked 12 September 2026). A letter naming that rule correctly sounds like a coordinator; one calling it "the three day rule for closing paperwork" sounds like somebody who has heard of it.

Statistical insight

Fourteen percent of contracts settle late, and seven percent do not settle

In the August 2026 Realtors Confidence Index Survey, contracts typically closed in 30 days, 14% had delayed settlements in the past three months, 7% were terminated in the last three months, and 6% were delayed by appraisal issues (National Association of Realtors, Realtors Confidence Index Survey, August 2026, published 10 September 2026).

That is the benchmark your own figures are read against, which is why the letter gives a rate rather than an adjective: 4 percent fall-through means something next to a published 7 percent.

The Bureau of Labor Statistics counts this work inside secretaries and administrative assistants, median annual wage $48,310 as of May 2025, with the executive detail at $76,590 (Bureau of Labor Statistics Occupational Outlook Handbook, May 2025). A letter describing a process you own rather than tasks you complete is the one read for the upper half of that range.

Brokerage, producing team and title company letters are not the same letter

Do

For a producing team, lead with capacity and the on-time rate; they are replacing a desk and counting pending files. For a brokerage operations role, lead with the process and the audit result. For a title company, lead with volume per closer and funding reliability. Name their platform in every version.

Iconly/Bold/Close Square Don’t

Do not send a letter with no numbers in it, which is most of the folder. Do not claim a platform you have only been shown. Do not describe the closing process in general; describe the dates you held. Do not imply you advised on price or negotiated terms if you are unlicensed, or leave your pay structure vague.

Length, format and sending it

One page, four paragraphs, 250 to 400 words. PDF unless the posting says otherwise, named for yourself and the role.

Address a person. Team leads and designated brokers are named on brokerage sites and on the state license register, and "Dear Hiring Manager" on an otherwise specific letter reads as a letter sent to nine firms.

Use the same figures as your resume. Our real estate coordinator resume example is built on the numbers used here, and the free Rezoom ATS resume checker will tell you whether the pair parses.

Key takeaways

  1. Open with live file load and closings a month.
  2. Add the on-time close rate and the fall-through rate, with the period attached.
  3. Name the dates you hold, in contract order, including the federally timed disclosures.
  4. Name their platform and forms library, and say you already run it if you do.
  5. Give one process you built, not a list of duties.
  6. State your scope and pay structure in one line if you are unlicensed.
  7. Address a named person and keep it to one page.

Real estate coordinator cover letter questions, answered

How long should a real estate coordinator cover letter be?

One page, four paragraphs, 250 to 400 words. The reader is comparing desks, not prose, so the numbers do the work.

What if I have never counted my files or my on-time rate?

Count them first. Take the last 40 closed files in your platform and record how many closed on or before the contract close of escrow date and how many canceled. That is an afternoon of work, and it changes the letter from a description into evidence.

Should I mention that I am unlicensed?

Yes, in one line near the end, with your pay structure alongside it. An unlicensed coordinator may not advise on price or negotiate terms, and a designated broker is accountable for that boundary, so stating it plainly makes you easier to hire. Our [real estate assistant cover letter](/cover-letter/real-estate-assistant/) covers the licensed version.

How do I write this letter with no brokerage experience?

Use the same units. Escrow assistant, title processor, mortgage loan coordinator and paralegal work all have a file load, a deadline set and an exception result. Give those three numbers, then show you know the contract to close sequence and one transaction platform.

Does the letter need to name their software?

It helps more here than in almost any other role. A brokerage runs one transaction platform and one forms library, and a coordinator who works in both already starts taking files in week one. If you do not know their stack, name yours.
