A community manager reading applications is holding an exposure report: how many units are vacant, how many are on notice, and how many leases are signed against them. They are hiring to close that gap, so lead with the two facts that tell them whether you can: the community you ran, in units and asset class, and your closing ratio with the volume behind it. "I lead leasing on a 412-unit Class A mid-rise and signed 176 of the 612 tours I ran last year" is a first sentence no other letter in the folder has. Then name the system, because a property on Entrata reading that you run Entrata has saved a week of onboarding.

A 97 percent occupied community gives you nothing to improve, and that is the most common problem in a leasing letter. Occupancy is not the only number available.

Vacancy is a regional fact, so give your numbers a market

The national rental vacancy rate was 7.3 percent in the second quarter of 2026, with wide regional variation inside it: 9.5 percent in the South, 6.9 percent in the Midwest, 5.9 percent in the Northeast and 5.3 percent in the West (U.S. Census Bureau, Quarterly Residential Vacancies and Homeownership, released 28 July 2026).

That matters because the reader will silently discount a number with no context. So anchor it: the submarket, the occupancy the property was carrying, and whether a concession was running. "A 29 percent closing ratio while we ran a one-month concession on two-bedrooms" survives an interview question.

Fair Housing belongs in the letter, not just the resume

Leasing is the regulated edge of property management. HUD states that the Fair Housing Act prohibits discrimination in housing because of race, color, national origin, religion, sex, familial status and disability, and that it protects people when they are renting or buying a home, getting a mortgage, seeking housing assistance, or engaging in other housing-related activities (U.S. Department of Housing and Urban Development, Fair Housing Act overview, checked 12 September 2026).

One sentence in the close settles it: the training, the month, and the practice that follows. "I completed Fair Housing training with NAAEI in March 2025 and I apply published written screening criteria to every application without exception" tells a manager you understand the part that gets companies into trouble, which is inconsistency.

Do

Name the community in units and asset class in the first two sentences. Give a closing ratio with the volume and denominator behind it. Name the property management system by product. Read their availability page and name one real thing you saw. Put the Fair Housing training month in the close.

What do I write with no leasing experience?

Translate the job you have. Retail, hospitality and fitness sales all produce the numbers leasing is measured on: traffic handled, conversion rate, retention, upsell rate.
