Summary
A legal assistant resume is a one-page document showing that a practice runs on time when you are the one running it. This guide gives you three adaptable versions, the docketing and e-filing detail that hiring partners actually read for, the confidentiality rules that govern every line you write, and current Bureau of Labor Statistics pay for the occupation.
Legal Assistant resume examples by experience level
A legal assistant resume is a one-page document that proves a law practice runs on time, files correctly and bills accurately when you are the person holding it together.
A legal assistant is the operational spine of a practice: the calendar, the docket, the filings, the file room, the intake sheet, the time entries and the trust ledger. All of it is load-bearing, because a practice that misses a date does not get a second chance at it.
Legal assistant and paralegal are used interchangeably by many employers, and they are genuinely different jobs. A legal assistant runs the procedure and administration of a matter. A paralegal does substantive legal work delegated and supervised by an attorney: discovery, research, drafting. If the posting describes document review, cite-checking and drafting pleadings, read our paralegal resume example instead.

How to write a legal assistant resume
Six sections: contact header, summary, experience, systems and software, education and certifications, and skills. One page for your first eight years, two once you supervise or run a docket alone. Systems get their own block rather than being buried in bullets, because a firm choosing between two candidates is often choosing between one who already knows its case management system and one who needs six weeks to learn it.
| Section | What it is answering | Where it goes |
|---|---|---|
| Summary | What practice area, how many attorneys, what do you own? | Directly under the header |
| Experience | Does this person own a docket, or only assist with one? | Reverse chronological, with volumes |
| Systems | Can they file in our courts and bill in our software tomorrow? | Its own named block |
| Certifications | Notary, e-filing credentials, state or association certification | Under education |
Name the courts you file in, not just the software
Electronic filing is not one skill. CM/ECF is the federal judiciary's system, described by the Administrative Office of the U.S. Courts as the system "that allows case documents, such as pleadings, motions, and petitions, to be filed with the court online," and it requires a PACER account plus separate filing access granted by each individual court (United States Courts, CM/ECF guidance, 2026). State e-filing is a different landscape, with different vendors and local rules by county.
So write the courts: "E-file in CM/ECF for the Western District of Texas and the Fifth Circuit; state e-filing through eFileTexas for Bexar, Comal and Guadalupe counties." That answers a question no amount of "proficient in e-filing" ever will.
Run the finished file through the free Rezoom ATS resume checker before you send it. Mid-size and large firms parse applications into a recruiting system before a human opens them.
Choosing the best resume format for a legal assistant resume
Reverse chronological. One page until you are running a docket without supervision, then two.
Functional resumes fail badly in legal hiring. A firm reads a support resume for stability and for continuity of practice area: which firm, which practice group, how many attorneys, how long. A format that hides the timeline reads as a timeline the candidate is hiding, and law firms are unusually alert to that.

The practice area on the second line does real work. Litigation support and transactional support are not interchangeable skill sets, and the firm is hiring for one of them.
Make use of a summary
Four lines: practice area, how many attorneys you support, the systems you run, and one volume or reliability figure.
Legal assistant supporting three attorneys in a civil defense practice, with a year of file and calendar responsibility across roughly 90 open matters. Calendar all state court deadlines from service dates and court orders, e-file through eFileTexas, and maintain the document management system to the firm's naming convention. Texas notary public, trained on Clio Manage and time entry.
Litigation legal assistant with six years supporting a five-attorney civil defense group and owning the docket for approximately 220 open matters. Calculate and calendar every deadline from the triggering event under Federal Rule of Civil Procedure 6 and the applicable local rules, e-file in CM/ECF for the Western District of Texas and the Fifth Circuit, and run deposition and trial logistics. No missed filing deadline in six years.
Senior legal assistant and docket coordinator with 14 years in civil defense, 5 of them running the firm's central docket for 11 attorneys and about 600 open matters. Rebuilt the calendaring protocol around a two-person verification rule and moved the firm from paper docket sheets to rule-based calendaring. Administer client trust deposits and monthly reconciliation, and supervise two legal assistants.
Right vs wrong: the same legal assistant summary, twice
| ✅ Right | ❌ Wrong |
|---|---|
| Litigation legal assistant with six years supporting a five-attorney civil defense group. | Detail-oriented legal professional with experience in a fast-paced law firm. |
| Own the docket for approximately 220 open matters and calculate every deadline from the triggering event. | Responsible for calendaring and administrative support. |
| E-file in CM/ECF for the Western District of Texas and the Fifth Circuit. | Proficient with electronic filing systems. |
The right column can be handed a docket. The left column has to be trained on one, and a firm that is hiring is short-staffed already.
Outline your experience
Firm, city, practice group, attorneys supported, matter volume, dates. Then four to six bullets, each naming a system, a volume or a deadline outcome.
| Instead of | Use |
|---|---|
| Provided administrative support to attorneys | Supported five litigation attorneys across approximately 220 open civil defense matters |
| Maintained calendars and schedules | Calculated and calendared every deadline from service dates and court orders under FRCP 6 and local rules, with no missed filing date in six years |
| Filed documents with the court | E-filed in CM/ECF for the Western District of Texas and the Fifth Circuit, and through eFileTexas in three counties |
| Handled billing | Entered and reviewed 400 to 500 time entries a month and cut pre-bill write-downs by tightening narrative descriptions |
Describe the matter, never the client
Everything you touch at a law firm is confidential and much of it is privileged. Client names, matter names, party names, settlement figures tied to an identifiable case and anything that would let a reader work out who was involved do not belong on a resume, in a portfolio or in an interview answer. Describe matters by type, size and your role. "Supported a multi-plaintiff premises liability matter with 14 depositions and roughly 40,000 pages of production" tells a hiring partner everything useful and identifies nobody. A named client is a red flag that follows you out of the interview, because a candidate who is loose with a former employer's confidences will be loose with the new firm's.
Litigation Legal Assistant, Vandervoort & Lira LLP, San Antonio, TX, March 2020 to Present
Support five attorneys in a civil defense practice group across approximately 220 open matters, from intake through resolution.
Own the practice group docket: calculate every deadline from the triggering event under Federal Rule of Civil Procedure 6 and the applicable local rules, calendar it with a reminder chain, and confirm it against the court's own docket weekly. No missed filing deadline in six years.
E-file in CM/ECF for the Western District of Texas and the Fifth Circuit, and through eFileTexas in three counties, including courtesy copies and judge-specific formatting.
Run conflict checks on every new matter before file opening and escalate hits to the responsible attorney before an engagement letter goes out.
Enter and review 400 to 500 time entries a month, prepare pre-bills, and schedule 60 to 80 depositions a year with court reporters, videographers and interpreters.
Docketing: the deadline chain a legal assistant owns
This is the section that separates a legal assistant resume from every other administrative resume, and most candidates leave it out. Docketing is not putting dates in a calendar. It is calculating them. A litigation deadline is almost never given to you as a date; it is given as a rule, a triggering event and a count. Federal Rule of Civil Procedure 6(a)(1) tells you to "exclude the day of the event that triggers the period," to "count every day, including intermediate Saturdays, Sundays, and legal holidays," and to include the last day unless it falls on a weekend or legal holiday, in which case the period runs to the next business day. Rule 6(d) adds three days when service was made by mail or certain other means, but not, since the 2016 amendment, for electronic service. Then layer on the district's local rules, the judge's standing order, the state rules if the matter sits in state court, and a scheduling order that resets half of it. One triggering event can generate six downstream dates, each with its own internal lead time.
Why a missed docket date is the profession’s nightmare
The American Bar Association's Profile of Legal Malpractice Claims, covering 2016 to 2019 and published in September 2020, found that substantive legal errors accounted for roughly half of reported claims, and that more than a third of claims came from either administrative errors, such as the failure to properly calendar key deadlines, or client relations failures.
A meaningful share of the malpractice exposure of an entire profession sits in the calendar, and the calendar is very often run by a legal assistant. That is why "maintained attorney calendars" is a weak line: it describes clerical work. What a firm buys is a deadline chain that does not break.
Write the docket as a system, not a duty:
Docket ownership: approximately 220 open matters across five attorneys, state and federal, calendared from the triggering event rather than attorney instruction.
Rule set: FRCP 6 and Fifth Circuit rules for federal matters; Texas Rules of Civil Procedure and three counties of local rules for state matters; judge standing orders tracked separately.
Verification: every calculated date carries a reminder chain at 30, 14 and 3 days, is cross-checked against the court's own docket weekly, and is reviewed with the responsible attorney at a standing Monday docket meeting.
Result: no missed filing deadline across six years of docket ownership.
Build a snapshot of your key skills

Procedure: Calendaring and docket calculation, E-filing in CM/ECF and state systems, Local rules research, Service of process coordination, Records and subpoena requests, Deposition and trial logistics
Systems: Clio Manage, iManage document management, ProLaw, PACER and CM/ECF, eFileTexas, Adobe Acrobat Pro and Bates numbering, Microsoft 365
Financial administration: Time entry and pre-bill preparation, Client trust and retainer administration, Monthly three-way reconciliation support, Vendor invoices and cost recovery
Practice administration: Client intake, Conflict checks, New matter opening, Closed-file retention schedules, Transcription
List your education and certifications
Most legal assistant roles ask for a high school diploma plus experience, or an associate degree. Certification is optional and still reads well, because it is voluntary effort.
Associate of Applied Science, Paralegal Studies, San Antonio College, San Antonio, TX, 2019. Program approved by the American Bar Association.
Certifications: Notary Public, State of Texas, commission expires 2029. Accredited Legal Professional (ALP), NALS the association for legal professionals, 2021. Professional Legal Secretary (PLS), NALS, a one-day four-part examination requiring a minimum of three years of legal work experience, 2024.
Systems training: iManage administrator training, 2023. eFileTexas filer training, 2022.
A notary commission is worth holding and listing. Firms need affidavits, verifications and acknowledgements constantly, and a support role that can notarize in-house saves a standing errand. Our notary resume example covers the commission on its own terms.
Choose the right layout and design
Single column, 10 to 12 point type, clear headings, no photograph, no graphics, no skill bars. Law firm recruiting systems parse resumes into structured fields, and multi-column layouts and text boxes are where that parsing fails. Proofread three times: a typo on a legal assistant resume is an argument against hiring you, because proofreading is part of the job.
Name the practice area and the number of attorneys you support. Give a matter volume. Name the courts you file in, not the words "e-filing". List your systems by product name. State how your calendar is verified. Describe matters by type and size.
Do not name a client, a matter, a party or a settlement figure, ever. Do not describe yourself as detail-oriented; show it by being correct. Do not claim paralegal duties you have not performed. Do not use a two-column template for a firm recruiting portal.
Legal assistant job market and outlook
A large, stable occupation with heavy replacement demand and no net growth, concentrated in law firms. The federal statistics split the job the way the profession does not: the Bureau of Labor Statistics counts paralegals and legal assistants together as one occupation and legal secretaries and administrative assistants separately, and a job advertised as "legal assistant" may sit in either bucket.
| Measure | Paralegals and legal assistants | Legal secretaries and administrative assistants |
|---|---|---|
| Jobs, 2025 | 404,900 | 157,600 |
| Projected change, 2025-35 | 0% (little or no change), -1,100 | -5% (decline), -8,300 |
| Projected employment, 2035 | 403,800 | 149,300 |
| Median annual wage, May 2025 | $62,890 | $55,570 |
| Typical entry-level education | Associate's degree | High school diploma or equivalent |

Where the work sits, for the paralegals and legal assistants occupation:
| Industry | Share of employment | Median annual wage (May 2025) |
|---|---|---|
| Legal services | 75% | $61,770 |
| Local government, excluding education and hospitals | 5% | $63,370 |
| Federal government, excluding postal service | 4% | $81,470 |
| State government, excluding education and hospitals | 3% | $59,320 |
| Finance and insurance | 3% | $80,120 |

Three quarters of the jobs are in law firms, and the two best-paying industries are among the smallest. That is the most useful fact on this page for anyone planning a decade.
What salary you can expect as a legal assistant
Pay depends on which occupation your role is classified under and which industry you sit in. For paralegals and legal assistants the median annual wage was $62,890 as of May 2025, with the lowest 10 percent under $44,740 and the highest 10 percent over $101,500. For legal secretaries and administrative assistants the median was $55,570 (BLS Occupational Outlook Handbook, May 2025).
The industry gap is where the money is. Federal government work paid a median of $81,470 and finance and insurance $80,120 against $61,770 in legal services, roughly $19,000 a year apart on the same occupation code (BLS, May 2025). Government and in-house legal departments hire support staff with firm experience routinely, and the move is a standard mid-career step. Inside a firm, the levers a resume can pull are docket ownership, e-filing credentials in several court systems, trust and billing responsibility, and supervision. Each is a line item a firm administrator can price.
Key takeaways for a legal assistant resume
- Lead with practice area, number of attorneys supported and matter volume.
- Make docketing the center of the resume, and show dates are calculated, not copied.
- Name the courts and the e-filing systems, not the phrase "electronic filing".
- Name your case management, document management and billing software by product.
- Put trust and billing responsibility on the page; firm administrators price it.
- Describe every matter by type, size and your role, and never by party.
- One page, single column, notary commission listed with its expiry, proofread three times.

Legal assistant resume questions, answered
What is the difference between a legal assistant and a paralegal?
A legal assistant runs the procedure and administration of a matter: calendaring and docketing, e-filing, intake, conflict checks, billing and logistics. A paralegal performs substantive legal work delegated and supervised by an attorney, such as discovery management, cite-checking and drafting pleadings for attorney review. Many employers use the titles interchangeably, so read the duties in the posting rather than the title and write to the duties.
Do I need a certification to work as a legal assistant?
No, and no state requires it to hold the job. It still helps, because it is evidence of effort you were not obliged to make. NALS, the association for legal professionals, offers the Accredited Legal Professional credential through a four-hour three-part examination, and the Professional Legal Secretary credential through a one-day four-part examination that requires a minimum of three years of legal work experience (NALS, 2026).
How long should a legal assistant resume be?
One page for your first eight years or so. Two once you own a docket without supervision, administer trust funds, or supervise other support staff. Firms read support resumes quickly, and a second page that adds nothing reads as padding.
What software should I list on a legal assistant resume?
Everything you actually use, by product name, in its own block: the case management system (Clio Manage, ProLaw, Smokeball), the document management system (iManage, NetDocuments), the billing system, PACER and CM/ECF, your state e-filing portal, and Adobe Acrobat Pro. Firms hire for the stack they already run, and the product name is what a recruiter searches for.
How do I write about my cases without breaking confidentiality?
By type, size and your role, never by party. Write "supported a multi-plaintiff premises liability matter with 14 depositions and roughly 40,000 pages of production," not the client name or the settlement figure. Client information is confidential and much of it is privileged, and a hiring partner reads a named client as a warning about what you would say about them later.
