How to write a human resources assistant resume
Six sections on one page: contact header, summary, systems, experience, compliance and certifications, and skills. Systems go high, because the first filter on an HR assistant application is almost always the HRIS name.

Write by volume, process and outcome, never by person
An HR resume must never name an employee, describe an individual case, or reference anyone's medical information, accommodation, leave, complaint or discipline. This is the single rule that matters most in this role, because you are the person with the most access to all of it.
Under the Americans with Disabilities Act, information from medical examinations and disability-related inquiries "must be kept confidential, and maintained in separate medical files" (U.S. Equal Employment Opportunity Commission, The ADA: Your Responsibilities as an Employer). Under the Family and Medical Leave Act, medical certifications must be "maintained as confidential medical records in separate files/records from the usual personnel files" (U.S. Department of Labor, FMLA recordkeeping requirements, 29 CFR 825.500).

A sentence about a leave you processed for someone is a disqualification, and a reviewer in this function will read it as one.

The separate-file rule, and the retention clocks you are keeping
This is the section that separates a human resources assistant from an administrative assistant who happens to sit in HR, and it is the section almost nobody writes.
An employee's paperwork is not one file. It is at least four, and keeping them apart is a legal requirement rather than a filing preference. Say on the resume that you know this, because a reviewer who has ever been through an audit will read it as the shortest possible proof that you have done this job properly.
File structure maintained: Personnel file. Confidential medical file, held separately under ADA and FMLA requirements. Form I-9, held separately from the personnel file so it can be produced for audit without exposing other records. Investigation file. Payroll records.
Retention schedule applied: Personnel and employment records, one year, and one year from the date of termination for involuntary terminations, under EEOC regulations. Payroll records, three years under the Age Discrimination in Employment Act and the Fair Labor Standards Act, with wage computation records such as time cards for two years. FMLA records, three years. OSHA 300 Log, annual summary and 301 forms, five years following the end of the calendar year covered. Form I-9, three years after the date of hire or one year after employment ends, whichever is later.

The EEOC requires employers to keep all personnel or employment records for one year, and for one year from the date of termination where an employee is involuntarily terminated, with payroll records kept three years under the Age Discrimination in Employment Act (EEOC recordkeeping requirements, accessed September 2026). The Department of Labor requires payroll records for at least three years and wage computation records such as time cards for two (DOL Wage and Hour Division, Fact Sheet 21). FMLA records must be preserved for no less than three years (DOL, 29 CFR 825.500). OSHA requires the 300 Log, the annual summary and the 301 forms to be saved for five years following the end of the calendar year those records cover (OSHA 29 CFR 1904.33).
Form I-9 has its own clock in two directions. USCIS states that an employee must complete and sign Section 1 "no later than their first day of employment," and that the employer must retain the form "for three years after the date of hire, or one year after the date employment ends, whichever is later" (USCIS, Handbook for Employers M-274, accessed September 2026). Where the employer uses E-Verify, the case must be created "no later than the third business day after the employee starts work for pay" (E-Verify User Manual, accessed September 2026).
One deadline that is only 20 days long, and most assistants never name it
Federal law requires employers to report each newly hired employee to the State Directory of New Hires "not later than 20 days after the date the employer hires the employee," or in two monthly transmissions between 12 and 16 days apart for electronic filers (Social Security Act section 453A(b)(2)). States may set a shorter deadline, and many do.
It is one of the few HR deadlines that arrives before anything else on the onboarding checklist is finished, and it is one of the most commonly missed. It is also one that a candidate can credibly claim ownership of.
If new hire reporting is yours, put it on the resume with the deadline named and the volume attached. It is a small sentence that tells an HR manager you understand that the onboarding checklist is a set of legal clocks rather than a courtesy.

Say that you keep medical, I-9 and investigation records separate from the personnel file. Give one accuracy or audit number with a before and after. Name the HRIS as a product.
Do not name an employee, describe an individual case, or reference anyone's medical information, accommodation, leave, complaint or discipline. Do not write "handled confidential information" as a skill; show the file structure instead. Do not list an HRIS you have seen but never worked in. Do not claim audit results you cannot describe. What does a human resources assistant actually put on a resume?

Which records must be kept separate from the personnel file?
Medical information at minimum. Do I need a certification to be a human resources assistant?
