Write coordination as a cycle, not as a duty
Most coordinator resumes list activities: scheduling, onboarding, event support, reporting. Those are verbs with no shape. A hiring manager cannot tell whether you booked one room or ran a program.
Write a cycle instead. A cycle has a trigger, a cadence, a volume, a set of people it crosses, and an end state. "Onboarding" becomes "run the two week onboarding cycle for 8 to 14 new starters a month across IT, facilities, payroll and four departments, from offer acceptance to day thirty check in, with the time from acceptance to fully provisioned first day cut from 11 days to 4".
That sentence is a project description. The job title on it happens to be administrative.

Choosing the best resume format for an administrative coordinator resume

List the recurring processes you own end to end
This block is what makes a coordinator resume a coordinator resume, and almost nobody includes it.
A process inventory is a short table of the cycles you own, each with a cadence, a volume, the number of teams it crosses, and the current cycle time. It answers the question the hiring manager has, which is not whether you are organized but whether you have run something on a repeating clock without a manager standing behind it.

Three details make that block credible. Every line has a cadence, so the reader knows what repeats. Every line has a volume, so they know the scale. And at least two lines carry a cycle time, because cycle time is the only number that distinguishes a coordinator who owns a process from one who participates in it.
Say the words no direct reports, and then show the influence anyway
Coordinators are often filtered out of shortlists because a reader assumes the role was passive. The fix is counterintuitive: state plainly that you have no direct reports, then describe the mechanism you use instead.
Mechanisms are concrete. A fortnightly stand up you chair. A shared tracker with named owners and due dates that you are responsible for chasing. An escalation rule you wrote, saying what happens on day three of a missed input. A service level you publish for turnaround.
"Coordinated 7 departments with no direct reports, chairing a fortnightly operations stand up and running an escalation rule that lifted on time inputs from 71 percent to 96 percent" is a leadership claim without a management title, and it is the single most useful sentence this occupation can write.

Certifications matter more here than in most administrative roles, because they are the only external evidence that coordination is a discipline rather than a temperament.

Choose the right layout and design
Single column, 10 or 11 point, clear headings, no photograph and no skill bars. Keep the process inventory as labeled lines rather than a graphic, because a parser will read lines and will not read an infographic.
Name the file for yourself and the role. Keep the summary to four lines: coordinator postings are read quickly and the process inventory is the part you want reached.
Give every process a cadence, a volume and, where you have it, a cycle time. Say how many teams each cycle crosses. State explicitly that you have no direct reports, then name the mechanism you use instead. Name the systems the processes live in. Show one before and after on a cycle you shortened. Put your certifications near the top of the education block.
Do not describe yourself as the glue that holds the team together, which tells a reader nothing they can act on. Do not list "calendar management" as a skill on its own; say the calendar, its size and its turnaround. Do not claim ownership of a process you contributed to; the interview will ask what happens when an input is late. Do not use a two column template for a portal. Do not run past two pages.

The pay gap inside the occupation is larger than the decline
Within secretaries and administrative assistants, the detailed occupations pay very differently. Executive secretaries and executive administrative assistants, 489,300 jobs in 2025, had a median annual wage of $76,590 as of May 2025. The general category, 1,889,800 jobs, had a median of $47,540. Legal secretaries and administrative assistants came in at $55,570 and medical at $45,930 (BLS Occupational Outlook Handbook, May 2025).
The overall occupation is projected to shrink only 2 percent by 2035 while still producing about 314,400 openings a year, so the market is steady. The movement that matters is not between employers, it is between those bands.
A process inventory is the argument for the higher band. Routine task work is what automation absorbs; owning a repeating cross functional cycle with a published cycle time is what it does not, and it is also the evidence a hiring manager needs to place you above the general category.

Coordinators typically sit above the general category median and below the executive band. The reason is scope rather than seniority: a coordinator carrying five or more recurring cross functional cycles is doing measurably more than a general administrative post, and measurably less negotiating on behalf of an executive than an executive assistant does.
