How to write a virtual assistant resume
Six blocks: contact and coverage header, service summary, a client book, service and package detail, tools and security, and education with certifications. One page. Almost every VA engagement is decided on a first read, often on a phone.

Write status into the header, because it changes what you are being offered
Most virtual assistants are independent contractors, not employees, and the document should say so in the header line: "Independent contractor, US based, invoiced monthly".
That one line prevents a long and awkward conversation later. The Internal Revenue Service classifies workers under common law rules grouped into three categories of evidence: behavioral control, financial control, and the type of relationship between the parties, and where the answer is genuinely unclear either side can file Form SS-8 to request a determination (Internal Revenue Service, accessed September 2026).

Choosing the best resume format for a virtual assistant resume
A hybrid: a short reverse chronological client book, with a services and packages block above or beside it.
Pure reverse chronological fails for virtual assistants because your engagements overlap. Five clients running concurrently down a single column with overlapping date ranges reads as five short jobs, which is the opposite of the impression you want. Two details carry that block. Every line has a start date still running, which shows retention rather than churn. And every line states the retainer size, which tells a prospective client immediately whether you have capacity.
Build a client book and a service offer instead of an employment history
This is the section that only exists on a virtual assistant resume, and it is where the engagement is usually won.
A prospective client is not asking whether you can do the work. They are asking what they are buying, how much of it, what it costs, and what happens when they need more. Answer all four on the page.
Service packages
Essentials, 20 hours a month: inbox triage, calendar management, travel booking, expense collation. One weekly check in.

Education is not the deciding factor in this work, and a client book above it says more. Keep it short and put platform certifications above degrees if the degree is unrelated.

Choose the right layout and design
One page, single column, clean type, PDF. A modest personal brand is acceptable here in a way it is not on an employee resume, because you are a business, but keep it to a color and a typeface rather than a graphic identity.
Make the coverage hours and the client count visible without scrolling or squinting. If you also have a services page on your own site, link it once in the header rather than repeating the full package detail twice.
State your contractor status and your billing unit in the header. Show concurrent clients as a client book with start dates and retainer sizes. Give average tenure and a retention figure. Publish core hours with the time zone named and the overlap you offer. Put a short, specific security block on the page. Name the exact tools, since clients hire for stack familiarity. Say whether you sign non disclosure and data processing agreements.
Do not name clients without written permission, and do not use their logos. Do not write "available 24/7", which reads as having no other clients. Do not present overlapping engagements as a column of short jobs. Do not describe a login being emailed or messaged to you, even historically. Do not list forty tools; list the ones you would be trusted to administer. Do not hide your rate entirely if you are applying to direct clients, because the conversation ends there anyway.

The employed occupation is shrinking slowly, and the paperwork around contracting changed this year
Secretaries and administrative assistants numbered 3,515,600 jobs in 2025, are projected to decline 2 percent by 2035, and still generate about 314,400 openings a year, at a median annual wage of $48,310 as of May 2025 (BLS Occupational Outlook Handbook, May 2025 and 2025-35 projections).
Two figures matter more to a contractor than the median. The reporting threshold for nonemployee compensation rose from $600 to $2,000 for tax years beginning after 2025, which changes which of your clients will issue you a form at all (IRS, General Instructions for Certain Information Returns, 2026). And self-employment tax applies on top of income tax, with the Social Security portion charged up to a contribution and benefit base of $184,500 for earnings in 2026 (Social Security Administration, 2026).
The practical consequence is that a virtual assistant rate is not comparable to an employee hourly rate. You are covering employer side payroll tax, your own equipment, software, insurance, unpaid administration and unbilled time between engagements. Price and present accordingly.

What salary you can expect as a virtual assistant
There is no published federal wage series for virtual assistants specifically, because the work is contracted rather than employed. The nearest reference point is secretaries and administrative assistants, median $48,310 a year as of May 2025, with the lowest 10 percent under $35,360 and the highest 10 percent over $77,720 (BLS Occupational Outlook Handbook, May 2025).
Treat that as a floor to price above rather than a benchmark to match. An employed administrative assistant receives that figure with payroll taxes paid, equipment supplied, software licensed and paid leave. A contractor billing the same hourly figure is materially worse off, because the Social Security portion of self-employment tax applies to earnings up to the 2026 contribution and benefit base of $184,500 and the Medicare portion has no cap at all (Social Security Administration, 2026).
