Summary
A receptionist resume is a one page document showing what your front desk controlled: visitor access and badging, the phone system and its routing, the emergency plan role, and, in healthcare, patient check in and eligibility. This guide gives you three adaptable versions, the three different front desks employers hire for, and current Bureau of Labor Statistics pay and outlook.
Receptionist resume examples by experience level
A receptionist resume is a one page document showing what your front desk controlled: who was allowed past the door, where the calls went, what happened to a delivery, and what you did when the alarm sounded.
The desk is an access control point, not a greeting station. Writing it as greeting and answering phones understates the job by most of its content, and it is why so many receptionist resumes read identically.
Resume guide for a receptionist resume
This guide and the corresponding receptionist resume example will cover:
- How to write a receptionist resume, section by section
- The three different front desks employers hire for
- Three adaptable summaries: new, medical and front office lead
- What a healthcare front desk is measured on, and how to prove it

How to write a receptionist resume
Six sections: contact header, summary, front desk scope, experience, education and certifications, and skills. One page unless you run a multi site desk.
| Section | What it is answering | Where it goes |
|---|---|---|
| Front desk scope | What did this desk actually control? | Under the summary |
| Systems | Phone, visitor platform, practice management software | Same block, own line |
| Experience | Volumes, and what improved because of them | Reverse chronological |
| Education and certifications | Anything that shortens onboarding | Near the bottom |
Name the systems, because the desk is a software job now
"Answered phones and greeted visitors" describes a desk from 1994. The current desk runs software, and naming it is the fastest way to look current.
Phone: the platform and the number of extensions, such as a Cisco, Mitel or RingCentral system with 40 extensions and three auto attendant menus you maintained.
Visitors: the platform, such as Envoy or Proxyclick, and what it captured: photo badge issue, host notification, watchlist checks, NDA acceptance at sign in.
Healthcare: the practice management system by name, such as Epic, athenahealth, eClinicalWorks or Kareo, plus the clearinghouse you ran eligibility through.
Run the file through the free Rezoom ATS resume checker first; clinics and property managers screen through an applicant system.
Choosing the best resume format for a receptionist resume
Reverse chronological, one page, months in every date. Then decide which of the three front desks you are applying to, because they hire on different evidence.
| Medical front desk | Corporate front desk | Personal care front desk | |
|---|---|---|---|
| Volume measured in | Patients checked in a day | Visitors and calls a day | Appointments booked and rebooked |
| The hard skill | Eligibility and co-pay collection | Access control, badging, courier handling | Scheduling, rebooking, retail at the desk |
| Compliance line | HIPAA sign in and waiting room privacy | Visitor records, NDA capture, badge return | Payment handling and client records |
| Named systems | Epic, athenahealth, eClinicalWorks, Kareo | Envoy, Proxyclick, Cisco, RingCentral | Booking and point of sale platforms |
Healthcare and social assistance employs 42 percent of all receptionists (BLS Occupational Outlook Handbook, May 2025), so unless you know the setting, write for the medical front desk.

Put the setting and the systems in the header line. A clinic manager and an office manager read for different things, and those two lines answer both.
Make use of a summary
Four lines: the setting, the volume through your desk, the systems, and one number that moved.

Medical receptionist with six years on a four provider family medicine front desk, checking in 60 to 85 patients a day and running insurance eligibility before every appointment. Cut front end claim rejections from 9 percent to 3 percent in a year by verifying coverage at scheduling rather than at arrival, and collects co-pays at check in at a 94 percent collection rate. Works athenahealth daily and rewrote the practice's sign in process to remove patient names from the counter.
Front office lead with eleven years across medical and corporate front desks, now running check in at a three site orthopedic group for 12 providers and 8 front desk staff. Rebuilt check in around eligibility verification at scheduling, taking front end claim rejections from 11 percent to 3 percent and point of service collections from 61 percent to 92 percent. Owns visitor and vendor access, the waiting room privacy layout and the front desk section of the emergency action plan.
Right vs wrong: the same receptionist summary, twice
| ✅ Right | ❌ Wrong |
|---|---|
| Medical receptionist with six years on a four provider family medicine front desk. | Friendly and organized receptionist with excellent people skills. |
| Checks in 60 to 85 patients a day and runs eligibility before every appointment. | Greets patients and answers a busy multi line phone. |
| Cut front end claim rejections from 9 percent to 3 percent in a year. | Committed to providing outstanding customer service. |
The right column tells a practice manager what happens to their revenue cycle when this person sits down. The left describes a personality.
Outline your receptionist experience

| Collected payments | Collected co-pays at check in at a 94 percent collection rate |
| Maintained the reception area | Rebuilt sign in so no patient name is visible on the counter |
Medical Receptionist, Treasure Valley Family Medicine, Boise, ID, February 2020 to Present
Check in 60 to 85 patients a day for four providers, covering registration, demographics, consent forms and co-pay collection.
Run insurance eligibility at the point of scheduling rather than arrival; front end claim rejections fell from 9 percent to 3 percent within a year.
Collect co-pays and outstanding balances at check in at a 94 percent point of service collection rate.
Cover a 22 extension phone system, 90 to 130 calls a day, with triage routed to the nurse line inside two minutes.
Rewrote the sign in process to remove patient names from the counter and moved the desk layout so screens are not visible from the queue.
What a receptionist actually controls at the front desk
Everything above is volume. This is authority, and it is what separates a front desk resume from a customer service one.
Access. The desk decides who gets past the door: issuing and reclaiming badges, verifying that a visitor is expected, notifying the host, refusing entry to someone not on the list, and knowing the difference between a contractor with a work order and a stranger with a clipboard. Platforms such as Envoy or Proxyclick timestamp arrival, photograph the visitor, capture a non disclosure agreement at sign in and hold the record. Write the platform, the volume and the rule you enforced.
The phone system. Not "answered phones". The number of extensions, the auto attendant menus you maintained, where calls escalated and how fast, and whether you rebuilt the routing when the practice added a provider.
Emergencies. Most sites give the front desk a named role in the emergency action plan: account for visitors from the sign in log, hold the door, direct responders, call the roll at the assembly point. Almost nobody writes it down.
Deliveries. Couriers, samples, equipment, legal service of documents. A desk that logs deliveries on a chain of custody is doing records work, and in a clinic or a law office it is audited.
Confidentiality. The desk hears everything: who visited whom, which candidate came in, which patient was in the waiting room. Naming the training behind that boundary is worth a line.
Access: Envoy visitor management, 25 to 40 sign ins a week, photo badge issue, host notification, NDA capture at sign in, weekly badge reconciliation.
Phone: 22 extension system, three auto attendant menus maintained by me, 90 to 130 calls a day, nurse line triage routed inside two minutes.
Emergency: named front desk role in the emergency action plan, responsible for the visitor roll call at the assembly point; drilled twice a year.
Deliveries: logged chain of custody for courier, specimen and equipment deliveries.
Because 42 percent of receptionists work in healthcare and social assistance (BLS Occupational Outlook Handbook, May 2025), the medical desk deserves its own lines. Four things are measured there.
Check in is registration, demographics, consent and identity. Eligibility is verifying coverage, plan, deductible and referral or prior authorization status, ideally at scheduling rather than at the counter, because a coverage problem found at arrival is one the patient is standing in front of you with. Collection is co-pays and balances taken at the point of service, a number practice managers watch closely. Privacy is the sign in sheet that does not show other patients' names, screens angled away from the queue, and conversations that cannot be overheard.
That last one has a named authority behind it. The U.S. Department of Health and Human Services HIPAA Privacy Rule requires reasonable safeguards to limit incidental disclosures, and treats sign in sheets and calling a patient by name in a waiting room as permissible only within that limit. A receptionist who can explain the safeguard, not just name the rule, reads as properly trained.
Build a snapshot of your key receptionist skills
Twelve to sixteen entries in four groups.
Front desk: Patient check in and registration, Visitor access control and badging, Multi line call routing, Scheduling and rebooking, De-escalation at the counter
Revenue: Insurance eligibility verification, Co-pay and balance collection, Referral and prior authorization tracking
Systems: athenahealth, Epic, eClinicalWorks, Kareo, Envoy, Microsoft Outlook, RingCentral
Compliance: HIPAA safeguards at the desk, Waiting room privacy, Visitor record retention, Chain of custody for deliveries
List your education and certifications
The typical entry route is a high school diploma or equivalent with short term on the job training (BLS Occupational Outlook Handbook, published 27 August 2026), so certifications are where you separate the file.
Certificate, Medical Office Administration, College of Western Idaho, Nampa, ID, 2019
High School Diploma, Borah High School, Boise, ID, 2015
Certifications: Certified Medical Administrative Assistant (CMAA), National Healthcareer Association (2020). Certified Administrative Professional (CAP), International Association of Administrative Professionals (2024). HIPAA privacy and security training, employer delivered under the HHS Privacy Rule (2026). CPR and first aid, American Red Cross (2025).
Choose the right layout and design
Single column, plain type at 11 or 12 point, no photograph, no icons and no skill bars. Applicant systems parse the file into a structured record before a person reads it, and columns and graphics break that.
Say which of the three front desks you have worked. Give daily volumes: patients, visitors, calls. Name the practice management and visitor platforms. Put your emergency plan role on the page. In healthcare, give one revenue number. Keep months in every date.
Do not write "greeted visitors and answered phones"; it is the least informative sentence available. Do not describe a patient, client or visitor in a way that could identify them. Do not list a certification without its issuing body. Do not claim a system you have only watched someone else use.
Receptionist job market and outlook
A very large occupation, slowly shrinking, with heavy replacement hiring and one dominant industry.

| Receptionist jobs, 2025 | 947,500 |
| Projected change, 2025-35 | -2 percent, -16,000 jobs |
| Projected annual openings | ~105,100 |
| Typical entry-level education | High school diploma or equivalent |
| Typical on the job training | Short term |

Four in ten receptionists work in healthcare
Healthcare and social assistance employs 42 percent of receptionists, more than three times the next largest industry, and pays a median of $19.00 an hour against an all industry median of $18.27 (BLS Occupational Outlook Handbook, May 2025).
That number should shape the resume. The skills that move a receptionist up here are the clinical front office ones: eligibility, prior authorization, point of service collection and the privacy rules that go with them.
If you have never worked a clinic, the transferable half still counts: check in under volume, identity verification, payment handling and access control.
Where the jobs sit:
| Industry | Share of employment | Median hourly wage (May 2025) |
|---|---|---|
| Healthcare and social assistance | 42 percent | $19.00 |
| Professional, scientific and technical services | 11 percent | $18.56 |
| Personal care services | 7 percent | $16.57 |
| Religious, grantmaking, civic and professional organizations | 4 percent | $17.18 |
| Administrative and support services | 3 percent | $19.13 |

What salary you can expect as a receptionist
The median annual wage for receptionists was $38,010 as of May 2025, or $18.27 an hour. The lowest 10 percent earned under $13.83 an hour, the highest 10 percent over $24.01 (BLS Occupational Outlook Handbook, May 2025).
Industry explains most of that spread. Personal care services pay a median of $16.57 an hour against $19.13 in administrative and support services and $19.00 in healthcare (BLS, May 2025). Moving from a salon desk to a clinic desk is worth more than several years of raises in place, and what makes the move possible is a named credential plus evidence you can handle eligibility and collection.
The other route is out of reception and into administration. Secretaries and administrative assistants had a median of $48,310 as of May 2025 with about 314,400 openings a year (BLS Occupational Outlook Handbook, May 2025 and 2025-35 projections).

Receptionist resume questions, answered
How long should a receptionist resume be?
One page. Go to two only if you run a multi site desk or supervise front office staff.
What should a receptionist put on a resume with no experience?
Volumes and systems from whatever you have done. Retail, food service and hotel work all involve a counter, a queue, a payment and a phone. Then name any platform you have used and any training you hold.
Do I need a certification to be a receptionist?
No. The typical entry route is a high school diploma or equivalent with short term on the job training (BLS Occupational Outlook Handbook, published 27 August 2026). In healthcare, a credential such as the Certified Medical Administrative Assistant from the National Healthcareer Association separates a file.
What is the difference between a receptionist and a medical receptionist?
Scope and regulation. A medical receptionist checks in patients, verifies eligibility, collects co-pays and works inside the HIPAA Privacy Rule, including the safeguards governing sign in sheets and waiting room conversations. A corporate receptionist runs access control, badging and call routing. The desks look similar and hire on different evidence.
Can a receptionist mention specific patients or clients?
No, and never by name, initials or identifying detail. Write the work and the group: "checked in 60 to 85 patients a day", "handled visitor access for eight project teams". A resume that identifies a patient is a privacy failure a practice manager notices immediately.
Is receptionist work a shrinking career?
Slowly. Employment is projected to fall 2 percent from 2025 to 2035, about 16,000 jobs, but the occupation still opens roughly 105,100 positions a year (BLS Occupational Outlook Handbook, 2025-35 projections). The desks that stay have real scope: access control, eligibility, collection and records.
