Which ATS Sends Automatic Rejection Emails? Workday, Greenhouse & More
Which ATS sends automatic rejection emails? See how Greenhouse, Workday, Ashby, Oracle and iCIMS trigger them, why some arrive late, and what to do next.
On this pageWhich ATS can send automatic rejection emails?
Most major applicant tracking systems can send automatic rejection emails, but a recruiter always sets the rule. Greenhouse and Ashby auto-reject on answers to application questions and can delay the email. Workday and Oracle Recruiting send notices tied to decline reasons or status changes, with an optional timed delay. So an instant rejection usually means a screening answer, not a resume scan.
Greenhouse, Ashby, Workday, Oracle Recruiting and iCIMS can all send automatic rejection emails. But the software never decides on its own. A recruiter sets a rule, such as a knockout answer or a decline reason, and the system sends the template when that rule fires.
This guide shows which systems can do it, what sets the email off, and why some notes arrive weeks late. It also covers how to spot a template and what to do next. Where a vendor's help page would not open, we say so instead of guessing.
Quick answers by situation
| Your situation | What it likely means | What to do |
|---|---|---|
| Rejected minutes after you applied | A knockout question rule fired | Recheck your screening answers |
| Rejected a day or two later | A recruiter rejected you and the ATS delayed the email | Apply to the next close match |
| Rejected weeks or months later | The job closed and the ATS declined everyone left | Don't reply; set a job alert |
| Rejected after an interview | A person made the call | Send a short thank-you and ask for one tip |
| No email at all | The employer never set up a template | Follow up once, then move on |
Which ATS can send automatic rejection emails?
Greenhouse, Ashby, Workday, Oracle Recruiting Cloud and Bullhorn can all send automatic rejection emails, based on their own help docs. iCIMS can too, depending on how the employer sets it up. For Lever, Taleo, SmartRecruiters and BambooHR, we could not confirm the setting from public vendor pages.
Every big ATS stores a rejection template. The real question is whether the employer turned on a rule that sends it without a click.

| ATS | Sends rejections automatically? | What sets it off | Delayed send? |
|---|---|---|---|
| Greenhouse | Yes | Auto-Reject rules on custom questions; manual or bulk reject | Yes, delay dropdown |
| Ashby | Yes | Auto-reject conditions; bulk application review | Yes, such as a day later |
| Workday | Yes, if set up | Decline reasons; closing a job requisition | Yes, timed delay |
| Oracle Recruiting Cloud | Yes, if set up | Send Notification action on a status | Yes, delay delivery |
| iCIMS | Depends on employer | Some decline reasons send an email | Not in public docs |
| Bullhorn Automation | Yes | Status moves to rejected | Business-hours window |
| Lever, Taleo, SmartRecruiters, BambooHR | Not confirmed | Public pages did not show it | Not confirmed |
Greenhouse
Greenhouse calls the feature an application rule. Its help center says "Auto-Reject uses custom application questions to screen and reject candidates"1 based on their answers. That rule is on the Plus and Pro plans, and the employer chooses whether it also emails the candidate.
In a January 2025 post, Greenhouse said "Over 50% of roles are set to send you an email if your application is auto-rejected"2. The same post said 95% of jobs send an automatic "thanks for applying" email. Our guide to how Greenhouse ATS works covers the rest of its pipeline.
Recruiters might configure a job in Greenhouse to auto-reject or auto-advance applications based on very specific rules.
Greenhouse, 2025
Ashby
Ashby added two features. Its 2020 update lets recruiters in bulk review pick a template and "how soon after to send the email"6. Its 2021 auto-reject release7 rejects applications that match set conditions, and it can send the note at a later date.
Workday and Oracle
Workday's admin guide says that when an employer closes a job requisition, "all remaining candidates receive a notification about their disposition"8. Employers can also add a timed delay to those notices. Oracle Recruiting Cloud works the same way, because its Send Notification action10 emails a candidate when the application moves to a set status, with an optional delay.
iCIMS, Lever and the rest
iCIMS depends on the employer. Larimer County's iCIMS guide says one decline reason "will send an automatic email"13, while Emory's guide has recruiters tick a box to send an email notice14. For status labels, see our iCIMS application status guide.
Lever's help center lists articles on archiving and archive reasons, but those pages would not load for us. So we can't confirm how Lever sends rejection notes.
Our Lever ATS explainer covers what is public. SmartRecruiters' public course covers only rejection reasons, and BambooHR's help pages need a login.
What triggers automatic rejection emails?
Five things trigger automatic rejection emails: a knockout answer on the application, a recruiter changing your status to rejected, a bulk reject of many applicants at once, a job closing with people still in the pipeline, and a decline reason the employer tied to a template. A person sets every one of these rules in advance.
The ATS never reads your resume and decides you lost. Instead it follows rules a recruiter wrote. Here is how each trigger works in practice.
- Knockout questions. If you answer "no" to a must-have question, such as work authorization, a rule can reject you at once. Our guide to ATS knockout questions lists the common ones.
- Status change. When a recruiter moves you to "rejected," the ATS can send the template. Bullhorn's recipe fires when a status "moves to your rejected or not-progressing value"16.
- Bulk reject. A recruiter picks 50 applicants and rejects them in one click. Everyone gets the same email.
- Job closed. Workday can decline all remaining candidates9 when a requisition closes, with "Job Requisition Closed" as the reason.
- Decline reasons. Washington State University turned on automatic messages11 in 2024 for reasons such as "Does Not Meet Minimum/Required Qualifications."
ATS knockout questions can reject you before a human reads your resume. See common examples, how to answer them honestly, and which ones are legal to ask.
What the template usually looks like
Most automated notes share the same shape. They thank you, say the team chose others, and invite you to apply again. This one is an illustration, not a real employer's email.
Subject: Your application to Acme Corp Hi Jordan, thank you for applying for the Customer Success Manager role. After reviewing your application, we have decided not to move forward at this time. We encourage you to apply for future openings that match your background.
Subject: Update on the Marketing Coordinator position Hi Sam, thank you for your interest in this role. The position has now been filled, and we have closed the posting. We will keep your profile on file for future roles.
Why do automatic rejection emails arrive late?
Automatic rejection emails often arrive late on purpose. Greenhouse, Ashby, Workday and Oracle all let employers delay the send, so a rejection does not land seconds after you apply. Other late notes come when a job closes and the ATS declines everyone still in the pipeline, sometimes months after the decision.
Delays are a design choice. Greenhouse lets recruiters "choose any delay using the dropdown menu"3 when they reject someone. Workday's guide gives the same reason for its timed delay: it stops a rejection from going out right after a candidate applies.
So a note that comes two days later may still come from a rule that fired the moment you applied. But you can't tell which from the email alone. The timing gives you a clue, not proof.
A scheduled email can still be cancelled
Greenhouse says un-rejecting a candidate will "automatically cancel any scheduled rejection email that has not yet been sent"4. That means a recruiter who changes their mind can stop the note before you see it.
An email within an hour of applying points to a screening answer. Then an email after several weeks often points to a closed job. Track the gap between your apply date and the email date in a simple sheet.
Some employers never send one
Larimer County's iCIMS guide says interviewed candidates get no email, because "best practice is to call anyone that was interviewed"13. Taleo users at the University of Maryland, Baltimore say "HR will send the appropriate correspondence"15 after a decline, so a person handles it there.

How can you tell an automated rejection from a human one?
An automated rejection uses a generic greeting, a no-reply sender, no detail about your background and a send time that matches a rule. A human rejection names something specific, comes from a real recruiter's address and often follows an interview. When in doubt, assume a person chose the rule, even if no one wrote the note.
Look at four clues together. One clue alone can mislead you, because some recruiters edit templates by hand.

| Clue | Automated rejection | Human rejection |
|---|---|---|
| Sender | no-reply or a careers address | A named recruiter |
| Timing | Minutes after applying, or in a batch | After a call or interview |
| Detail | Job title only | Mentions your skills or interview |
| Reply | Bounces or goes unread | Gets a reply |
Greenhouse lets employers pick the sender address5 for each template. So a named sender does not prove a person typed it. Still, a note that cites your interview almost always came from a human.
Many people think the software read their resume and rejected it. Greenhouse says applications are "reviewed by real people, one by one, in the order received"2. Our post on the ATS rejection myth explains why keyword scores rarely trigger a reject on their own.

Who sets up the rejection templates in an ATS?
Recruiters and HR admins set up rejection templates and the rules that send them. In Greenhouse, a Site Admin or a Job Admin with template rights edits them. In Workday, an admin ties messages to decline reasons. So the email reflects one company's choices, not a verdict from the software.
The people who build these flows are recruiters and HR operations staff. Greenhouse says editing the default template needs Site Admin rights5, or Job Admin rights plus template permission. LSU's Workday guide adds that only its Talent Acquisition Partner can decline without an email12.

What should you do after automatic rejection emails?
After automatic rejection emails, first check whether a screening answer caused it, then fix your resume match for the next role. Don't reply to a no-reply address. If you interviewed, send one short thank-you. Then apply to a close match within a week, because momentum matters more than any single email.
An auto-reject feels personal, but it is usually a rule. So treat it as data.
- Check the timingNote how long after applying the email came. Minutes point to a knockout answer.
- Reread your screening answersLook for a "no" on work authorization, location or a license the job requires.
- Test your resume matchCompare your resume to the next posting and add the skills it names.
- Reply only to a real personSkip no-reply senders. Thank a recruiter you spoke with.
- Apply again with careIf the employer allows it, apply to a better-fit role at the same company.
Test the file and reply with care
Before you send the next one, run your file through our ATS resume checker. It shows whether the parser reads your job titles, dates and skills cleanly.
Hi [RECRUITER NAME], thank you for letting me know about the [JOB TITLE] role.
I enjoyed meeting [INTERVIEWER NAME] and learning about [ONE TEAM DETAIL].
If you have one tip on how I could be a stronger fit, I would value it.
Please keep me in mind for future [TEAM OR ROLE TYPE] openings.
Do
- Note the date and time of every rejection.
- Recheck knockout answers before you apply again.
- Thank a recruiter you actually spoke with.
- Apply to a closer match within a week.
Don’t
- Reply angrily to a no-reply address.
- Assume the ATS scored your resume and failed it.
- Reapply to the same job the same day.
- Change a true screening answer to get past a rule.
What to say if they push back
- "The decision is final." Thank them and ask to be considered for future roles.
- "We auto-reject anyone without authorization." Say whether your status has changed, and ask if you can update your answer.
- "We don't give feedback." Accept it, and ask which skill matters most for similar roles.
"Hi, I applied for the Analyst role and got a rejection within minutes. I think I picked the wrong answer on the work authorization question."
Recruiter: "Our system rejects that answer automatically. The decision stands."
"I understand. I am authorized to work in the US. Could you reopen my application, or should I apply again with the right answer?"
Recruiter: "Go ahead and reapply. I'll watch for it."
If you get several instant rejections in a row, the cause is almost always a screening answer, not your bullets. Then read every yes/no question twice before you hit submit.

Frequently asked questions
Do all ATS send automatic rejection emails?
No. Most big systems can, but the employer must turn on a rule and pick a template. Some employers send nothing at all, and others have HR send each note by hand.
Can Workday send a rejection email automatically?
Yes. Workday can notify every remaining candidate when a job closes, and employers can tie automatic messages to decline reasons. Employers can also add a timed delay.
Does Greenhouse auto-reject applications?
Only when the employer sets an Auto-Reject rule on a custom application question. Greenhouse says recruiters, not AI, control those rules, and the employer chooses whether an email goes out.
Why did I get a rejection email at 2 a.m.?
A rule likely fired, or a delayed send went out on a timer. The time stamp does not mean a recruiter was awake and reading your resume.
Should I reply to automatic rejection emails?
Not if the sender is a no-reply address. If a real recruiter wrote to you after an interview, a two-line thank-you is worth sending.
Can a recruiter undo an automatic rejection?
Yes. In Greenhouse, un-rejecting a candidate cancels any scheduled rejection email that has not gone out yet.
