How to write an accounting assistant resume
Overall, use five blocks: contact header, summary, volume and handoff, experience, and systems. As a rule, one page for almost everyone in this role.

Note what is not on that list: no close map, no reconciliation ownership block, no technical accounting section. Those belong to the accountant resume and the staff accountant resume, and borrowing them makes a hiring manager think you misread the posting.
Count what you process, and count what came back
The single most useful pair of numbers on this resume is volume and error rate, and hardly anyone writes the second one.
Volume is easy: invoices coded per month, expense reports processed, deposits posted, purchase orders matched. Pick the two or three that describe most of your week and state them monthly.
The error measure is what separates you. Recoding requests from the accountants you support, invoices returned by a reviewer before posting, unmatched receipts outstanding at month end, duplicate payments caught before release. "Recoding requests from the staff accountants fell from about 60 a month to 9 after I rebuilt the coding key" is a sentence a controller stops on, because it is the exact cost an accounting team pays for a weak assistant.
If nobody has ever measured your work, start counting. Two months of your own tally supports a defensible line.

On the other hand, the right column describes a job title. The left, however, describes a queue somebody could hand you tomorrow. Hiring here is a capacity decision, so the file that states capacity wins.
Outline your accounting assistant experience
Then give employer, what it does, its size, and dates. Then four or five bullets per recent role, most carrying a monthly number and at least one about accuracy rather than volume.

Draw the line: what you handle, what you hand over, and who checks it
In fact, this is the block that makes an accounting assistant resume legible, and it exists on no other page in this category. Above all, it answers the hiring manager's real question, which is not how good you are but how much of their team's day you would remove.

Volume and controls belong together. On its own, volume reads as data entry. Volume with the checks you apply reads as someone trusted with a queue, and the controls are what a controller is nervous about when hiring quickly.
The handoff line is the most valuable one. It names the people above you, what they receive and when, and it settles the seniority question without you having to make a claim.
The escalation line is the one that gets you hired. Everybody says they have good judgment. Listing four specific things you refuse to decide alone proves it, and it shows you know where the job stops.
Document control is quietly the differentiator. Half of an assistant's value is that the backup can be found. Say how the file is organized and how fast you can produce an audit sample.
Retention is a rule, not a habit, and it belongs on the page
The IRS instructs taxpayers to keep records for 3 years in the general case, for 6 years if income that should have been reported was omitted and it is more than 25 percent of the gross income shown on the return, and indefinitely where no return was filed or a fraudulent return was filed. Employment tax records are kept for at least 4 years after the tax becomes due or is paid, whichever is later (IRS, page last reviewed 30 June 2026).
There is a filing rule worth knowing too. In general, no person is required to file information returns electronically in a calendar year unless they are required to file at least 10 returns during that year, counted as an aggregate across almost all information return types (IRS Topic no. 801, page last reviewed 10 June 2026). If you assemble a Form 1099 population you are inside that rule, and knowing it is why the vendor file has to be right in October rather than in January.
None of this needs a paragraph on the resume. One clause does it: "maintain the paid invoice file against a written retention schedule aligned to IRS record retention periods".
Build a snapshot of your key skills
Generally, list ten to fourteen entries in three groups: the cycle, the systems, and the controls. Leave out anything that is true of every office job.

Name the accounts payable tool as well as the ERP. For example, recruiters search for Concur, Bill.com, Coupa and Tipalti directly, and an assistant who has worked inside one costs a week less to train.
List your education and certifications
Keep this short and accurate. The Bureau of Labor Statistics gives the typical entry-level education for bookkeeping, accounting and auditing clerks as some college with no degree, with no prior work experience required and moderate-term on-the-job training, and notes that employers generally prefer a high school diploma plus college courses in subjects such as accounting (Occupational Outlook Handbook, published 27 August 2026).
However, a degree is not the gate here. Instead, what helps is credits, a certificate, or the software training you have done.

If you have no post-secondary study at all, write the diploma and give the space to systems training. After all, eight years of clean accounts payable work does not lose to an associate degree and eleven months.
Choose the right layout and design
Also use a single column, 11 or 12 point, one page, no photograph or graphics. Set the volume and handoff block as labeled lines rather than prose, since the reader is scanning for numbers and product names.
State monthly volumes for the two or three things that fill most of your week. Name the controls you apply, not just the tasks. Say what you hand up, to whom, and by which working day. List the four things you escalate rather than decide. Give one accuracy number with a before and an after. Name the ERP and the accounts payable or expense tool. Say how your filing is organized and how fast you can pull a sample.
Do not claim to own reconciliations or the month-end close; a controller will test it in the first interview. Do not write "assisted the accounting department" without saying with what. Do not list every Microsoft Office application. Do not describe an employer's confidential financial results; size in public terms or broad bands is enough. Do not hide a short tenure, and do not stretch your job title upward to "accountant" when your seat is an assistant's.
That last one matters. Title inflation is common here and it is transparent, because the bullets underneath never support the title. A precise assistant reads better than an imprecise accountant, and it converts into an offer rather than a rejection from both directions.
Accounting assistant job market and outlook
Of course, there is no separate Bureau of Labor Statistics profile for accounting assistants. The occupation that covers the work is bookkeeping, accounting and auditing clerks, and the Handbook describes accounting clerks within it as workers who typically work for larger companies and have more specialized tasks, with job titles reflecting the specific accounting function they perform (published 27 August 2026).

In particular, the two middle rows describe an unusual market. The occupation is shrinking by 85,600 positions across the decade and still expects about 144,100 openings a year, because a workforce of 1.5 million generates a great deal of replacement hiring whatever the trend line does. In short, there are jobs, but there are fewer of them each year.
What the automation is actually taking
BLS attributes the projected decline directly to technology, stating that software innovations have automated many of the tasks performed by bookkeeping, accounting, and auditing clerks (Occupational Outlook Handbook, published 27 August 2026). The occupation is projected to lose 85,600 jobs between 2025 and 2035 while still producing about 144,100 openings a year.
Look at what the automation is good at: reading an invoice, matching it to a purchase order, posting a clean transaction, flagging a duplicate. It is poor at a vendor who invoices from a statement, a receipt that never arrives, a price that does not match the order, a supplier with no Form W-9, and anything that needs somebody rung up and asked.
Construction pays a median of $54,890 and professional, scientific and technical services $51,880, against $45,830 in retail trade (BLS, May 2025), and the better-paying settings are the ones with job costing, retention and multi-party billing, which are exactly the parts software struggles with.
So the resume that survives this market is the exception-handling resume. Write the volume, then write the exceptions.

Construction is the highest paying of the five and only the second largest, which is worth knowing when you choose where to apply. Job costing, certificates of insurance, lien waivers and retention make construction payables harder than most, and the pay reflects it.
What salary you can expect as an accounting assistant
For instance, the median annual wage for bookkeeping, accounting and auditing clerks was $50,670 in May 2025, or $24.36 an hour. The lowest 10 percent earned less than $36,000 and the highest 10 percent more than $74,550 (BLS, May 2025).
That top figure is the interesting one, because it is nearly double the bottom while the job title barely changes across the range. Still, what moves you up it is industry, systems and exception work together. For example, an assistant carrying construction job costing in NetSuite with a clean audit file is not competing with one keying invoices in a retail back office, whatever the two files say at the top.
The other lever, in turn, is the step into the accountant occupation, where the median was $83,680 in May 2025 (BLS, May 2025). That step needs a degree rather than more volume, which is why the education line should say exactly where you are if you are partway through one.
