On this pageWhat are the best office manager duties for resume bullets?

Summary

The best office manager duties for resume bullets cover five areas: staff supervision, vendors and budget, systems and records, facilities, and onboarding or HR support. List each one as an action verb, the scope you handled and a result with a number. Use five to seven bullets for your current job, tailor them to the office type, and pair them with the software the posting names.

The strongest office manager duties for resume bullets show what you ran and what improved: staff, vendors, budgets, records, facilities and onboarding. Start each bullet with a verb, add the scope, then end with a result. Below are copy-ready lines for four office types.

Most office manager resumes fail in the same way. They list tasks like "ordered supplies" and "answered phones," which every hiring manager already knows. So this guide shows how to turn each duty into proof, then how many bullets to use at each career stage.

What are the best office manager duties for resume bullets?

The best office manager duties for resume bullets are the tasks you owned that kept the office running: leading support staff, setting schedules, managing vendors and supplies, keeping records, overseeing facilities and helping with hiring. Pick the duties that match the job posting, and write each one as an action with a result, not as a task list.

The Bureau of Labor Statistics groups office managers with administrative services managers. It notes that in a small company, these managers may direct all support services and may be called the business office manager1. Their listed duties include leading staff, setting goals and deadlines, and suggesting changes to policies or steps.

O*NET, the Labor Department's job database, lists "Office Manager" as a sample title for first-line supervisors of office and administrative support workers2. Its task list adds hiring, training, scheduling, budget planning and supply purchasing. So your resume can draw from both lists.

The five duty areas that matter most

Group your duties into these areas first. Then pick the two or three areas the posting stresses most.

Duty areaStrong resume verbsProof to add
Staff oversightLed, trained, scheduledTeam size, turnover, training time
Vendors and budgetNegotiated, cut, managedDollar savings, budget size
Systems and recordsBuilt, scanned, streamlinedTime saved, error rate, files moved
Facilities and safetyRan, oversaw, movedSquare feet, moves, downtime
Onboarding and HR supportOnboarded, recruited, set upHires per year, days to set up

Office manager duties to pick from

Use this list as your menu of office manager duties for resume drafts. Keep only the lines that match the posting.

  • Supervise support staff. Assign work, set schedules and correct errors before they reach clients.
  • Hire and train. Recruit, interview and train new office staff on steps.
  • Manage vendors and supplies. Track inventory, request quotes and buy supplies within budget.
  • Keep records. Maintain files for personnel, orders, supplies and equipment upkeep.
  • Plan the budget. Analyze office spending and help build next year's budget.
  • Run facilities. Arrange repairs, plan office moves and handle security and parking.
  • Write policies. Develop or update office steps and explain them to staff.

If you want to compare full resumes, our administrative resume examples show how these duties sit next to a summary and skills section.

How do you turn office manager duties into accomplishments?

Use a three-part formula: action verb, then context, then result. "Ordered supplies" becomes "Switched to one office-supply vendor, cutting yearly spend by [X]%." If you lack a number, show scale (how many people, vendors or files) or a before-and-after change. Every bullet should answer "so what?"

The UC Davis Career Center sums up the method in four words:

Figure 1Add scope and a result to a plain duty, and it becomes an accomplishment.

ACTION VERB + CONTEXT = RESULTS

UC Davis Career Center, Accomplishment Statements

The Muse makes the same point for this exact role. It notes that quantifiable details bring an otherwise vague or generic-sounding job duty to life4. For the full method, see our guide on duties vs accomplishments on a resume.

Where to find your numbers

You probably have more numbers than you think. Check invoices, old budgets, calendar counts and your email for these:

  • Money. Budget size, vendor savings, late fees you stopped.
  • People. Staff you led, hires you onboarded, offices you covered.
  • Time. Hours saved per week, days to set up a new hire, faster turnaround.
  • Volume. Calls, visitors, files, meetings or orders you handled.
ExampleBefore and after: vendor savings

Before: Responsible for ordering office supplies and managing vendors.

After: Merged 6 supply vendors into 2 and reworked terms, cutting annual supply spend 18%.

Tip

No exact number? Use a careful range

If you only know a rough figure, write "about" or "more than" and keep it honest. "Onboarded more than 20 hires" is fine if you can explain it. Never guess a percentage you cannot back up in an interview.

Which office manager duties fit a medical office, law firm or startup?

Match your bullets to the office type. Medical offices value scheduling, patient flow and compliance. Law firms value records, deadlines and privacy. Startups value onboarding, tools and growth. Small general offices value range, so show that you handled vendors, IT, supplies and bookkeeping alone.

The setting changes what a hiring manager scans for. For example, BLS data show that offices of physicians employed 73,550 first-line office supervisors3 in May 2023. That is about 1 in 20 of the 1,504,570 people in the role, which makes medical practices one of its largest employers.

What should entry-level vs senior office managers emphasize?

Entry-level office managers should show the duties they already led as admin assistants or front desk staff: scheduling, supplies, training a new hire. Senior office managers should lead with budget size, team size, policy changes and multi-site work. The duties overlap; the scope and results change.

BLS says most of these managers need related work experience that reflects managerial and leadership abilities1. So if you are moving up from an assistant role, prove leadership early in each bullet.

LevelLead withExample bullet start
Admin to first office manager jobTasks you owned and people you trained"Trained 2 new front desk staff on..."
Mid-level office managerVendor savings and process fixes"Reworked the copier lease, saving..."
Senior office managerBudget, policy and team size"Owned a $250K budget across 2 sites..."

Moving up from administrative assistant

Pull out every task where you made a decision, not just where you helped. Then put those first. A clear administrative assistant resume objective can also explain the step up in one line.

ExampleAdmin assistant moving up to office manager

PRIYA RAMAN

Administrative Assistant | priya.raman@email.com

Took over vendor ordering for a 30-person office and cut late deliveries by switching suppliers

Trained 3 new front-desk hires on phones, visitor logs and the supply closet

Built an Excel tracker for equipment repairs that the office still uses

Senior office manager

At this level, skip routine tasks. Instead, show the budget you owned, the policies you wrote and the people who reported to you. A short summary of qualifications at the top helps a senior reader see that scope in seconds.

Which skills and software should you pair with office manager duties?

Pair your duties with the tools you used to do them. O*NET flags Microsoft Excel, Outlook, PowerPoint and Office as in-demand for this role, plus QuickBooks, Slack, SharePoint and Teams. Add industry tools when they apply, such as Dentrix for dental offices. Then mention the tool inside a bullet, not only in the skills list.

O*NET's technology list for office supervisors marks Microsoft Excel, Outlook, PowerPoint and Office as in-demand2. It also lists QuickBooks, Slack, SharePoint, Teams and Henry Schein Dentrix as hot technologies. So match these names to the posting, word for word.

BLS also names the soft skills that matter: data, communication, detail-oriented and leadership skills. Prove each one with a bullet rather than a single word in a list.

Skills to list by office type

  • Any office. Microsoft Office, Google Workspace, budgeting, vendor management, scheduling.
  • Medical office. Practice management or EHR software, insurance checks, HIPAA training.
  • Law firm. Document management systems, scheduling, records retention, privacy.
  • Startup. Slack, onboarding tools, HR software, event planning, fast setup of new offices.

Tip

Put the tool inside the result

"Built an Excel tracker that cut supply reorders from weekly to monthly" proves the skill and the result at once. A bare "Excel" in the skills list proves neither. Keep both, but let the bullet do the work.

How many bullets should an office manager resume have?

Use five to seven bullets for your current or most recent office manager job. Then use three to four bullets for older jobs, and one or two for roles over ten years old. Lead each job with your biggest result, and cut any bullet that only repeats a duty the reader already expects.

The Muse suggests roughly five to seven bullet points per job4 for this role. That range gives room for your best results without turning the page into a task list.

  1. List every duty Write down all your tasks for the last year, using the job posting and the five duty areas above.
  2. Add a result to each Next to each duty, note a number, a scale or a before-and-after change.
  3. Rank by the posting Move the bullets that match the posting's top needs to the top.
  4. Cut to five to seven Delete bullets with no result and any that overlap with another line.
  5. Check the tools Make sure the software the posting names appears in at least one bullet.

Fill-in-the-blank bullet template

ExampleFill-in-the-blank office manager bullet

[ACTION VERB] [WHAT YOU MANAGED] for a [SIZE]-person [OFFICE TYPE], [RESULT WITH A NUMBER]

Example: Managed vendor contracts for a 20-person dental office, saving $8,000 a year

Do

  • Start each bullet with a strong action verb.
  • Add a number, scale or before-and-after change.
  • Name the software you used inside the bullet.
  • Match the duties the job posting lists first.

Don’t

  • Write "responsible for" or "duties included."
  • List every task you ever did.
  • Repeat the same verb three times in one job.
  • Claim a result you cannot explain in an interview.

What to say if they push back

Interviewers often test one bullet to see if it holds up. Prepare a short story for each number on your resume.

  • "How did you measure that savings?" Name the old cost, the new cost and the time period.
  • "Was that your idea or your boss's?" Say what you proposed and what you did yourself.
  • "What went wrong along the way?" Give one problem and the fix you made.
ExamplePush back: an interviewer tests a bullet

[Interviewer: "You say you cut supply costs 15%. How do you know?"]

"I compared 12 months of invoices before and after we moved to one vendor. Spend dropped from about $20,000 to $17,000."

[Interviewer: "Did anyone push back on the switch?"]

"Yes, two staff liked the old brand. So I added their items to the new vendor's list, and the complaints stopped."

Frequently asked questions

What are the main duties of an office manager on a resume?

List supervising staff, managing vendors and supplies, keeping records, running facilities, supporting hiring and onboarding, and helping with the budget. Pick the ones the job posting stresses and add a result to each.

How do I describe office manager experience on a resume?

Use bullets that start with an action verb, name the scope and end with a result. For example, "Supervised 5 front-desk staff for a 3-provider clinic."

Should I list duties or accomplishments as an office manager?

Lead with accomplishments. A duty tells the reader what you did, while an accomplishment shows how well you did it.

Add Microsoft Office, especially Excel and Outlook, plus budgeting, vendor management and scheduling. Then add the industry software the posting names, such as QuickBooks or an EHR system.

How long should an office manager resume be?

One page works for most office managers. Senior managers with 10 or more years and multi-site roles can use two pages.

Can I use office manager duties if my title was administrative assistant?

Yes, if you did the work. Keep your real job title, then write bullets that show the office manager duties you owned.
