Plain business letter. Your name and contact details, the date, their name if you can find it, a subject line naming the role or the vendor position, then the four paragraphs. No logo unless you have a registered business, and no stock imagery of tools.

The opening line

Name the position and your service area in the first sentence. Nothing else belongs there.

Service area is the hard filter in this trade. A property manager with buildings across two counties is checking whether you cover both before they check anything else, and a letter that makes them hunt for it joins the ones that never said. Give the counties or the drive radius, and say plainly whether you charge for travel outside it.

Do

Open with the position and the counties you work. Give one volume number and one quality number. Name something real about their portfolio. State your license position and your insurance limits as figures. Say what you subcontract and to whom. Attach the certificate of insurance with the letter.

The instinct in a pitch letter is to widen the claim. In this trade it works the other way, because the reader has been burned by someone who said yes to work they should not have touched.

A sentence that names what you do not do, and who you hand it to, reads as competence rather than as a gap. It also protects you. Tennessee carves electrical, plumbing, gas, mechanical and HVAC out of its Home Improvement License entirely, and each requires a separate trade license regardless of contract value (Tennessee Department of Commerce and Insurance, accessed September 2026). Saying so in the letter means nobody is surprised on the first job.

Close by being easy to hire

The last paragraph is administrative on purpose. License, insurance, what you subcontract, when you can start, and how to reach you. No summary of your qualities, no restatement of the first paragraph, and no request to be given a chance.

The test is whether the reader could add you to a vendor list without sending a single follow-up question. If they would have to ask what your insurance limits are, or whether you do gas work, or how soon you could take a call, the letter has not finished its job.

Do I need a cover letter if I am self-employed?
