Ms. Renata Okafor General Sales Manager Harrowgate Automotive Overland Park, United States

Application for Sales Consultant, Harrowgate Automotive

Dear Ms. Okafor,

I am applying for the sales consultant post at Harrowgate Automotive. At my current franchise store I average 17.2 units a month, split 9 new and 8.2 used, at $2,410 combined front and back gross per unit, and I close 24 percent of logged opportunities against a store average of 18 percent.

The part I would most want to bring over is the follow-up discipline behind those numbers. When I started, our internet leads were sitting for an average of 47 minutes before anyone touched them. I moved the queue to shift-based ownership so every lead had a named owner the moment it landed, and first response went under 9 minutes. Appointment show rate rose from 51 percent to 68 percent and the store's internet closing ratio went from 9 percent to 14 percent over the following 18 months.

Forty-six percent of my deliveries now come from repeat and referral out of a customer file of about 900 names, which I work on a fixed monthly cadence rather than at month end. I noticed Harrowgate has expanded its used inventory and is advertising a larger reconditioning bay, and used is where I would expect to help fastest: I acquire around six trades a month and seven in ten retail on the lot rather than going to auction.

My rolling 12-month customer satisfaction index is 94.1 against a regional benchmark of 91.0 at a 71 percent survey return, and I can start on two weeks' notice. Thank you for your time.

Sincerely, Dionne Pritchard

Summary

A car sales cover letter tells a general sales manager what your line on the production board will look like: units a month, gross per unit, the lead sources your deliveries come from and your customer satisfaction index standing. This guide gives you a full adaptable letter, the openings that work, and what to write when you are moving in from outside the business.

Car Sales cover letter examples by experience level

A car sales cover letter answers the only question a general sales manager has: what will this person's line on the production board look like in 90 days?

A manager reading applications between deliveries wants units a month, gross per unit, where the business comes from and whether your customer satisfaction index will cost the store manufacturer money. Four facts in the first two paragraphs puts you ahead of most of the folder.

Expert Tip

Open with the number, not the ambition

Most car sales letters open with a sentence about a lifelong interest in cars. A manager has read it four hundred times and cannot schedule against it. Open with the production line instead: "I currently average 17.2 units a month at $2,410 combined front and back gross, closing 24 percent of logged opportunities against a store average of 18 percent." That is the shape of a line on a production board, and it buys you the rest of the page.

If your numbers are modest, lead with the one that is strong. A first-year consultant at 11 units with a 63 percent appointment show rate leads with the show rate.

What counts as evidence on a dealership floor

Every line should be something a manager could confirm by calling your last store manager.

Kind of evidenceWhat it looks like in a sentence
Volume17.2 units a month across 84 consecutive months, split 9 new and 8.2 used
Gross$2,410 combined gross per unit against a store average of $2,050
Lead workFirst response cut from 47 minutes to under 9; show rate 51 percent to 68 percent
A book46 percent of deliveries from repeat and referral, 900 names
QualityRolling 12-month CSI of 94.1 against a regional benchmark of 91.0

Notice what is not there: no claim about being a natural closer, and nothing about the finance office's product income.

Where your business comes from, and why a manager asks

Say what share of your deliveries come from walk-in ups, internet and phone leads, and repeat and referral. The three are bought for different reasons.

A consultant with a large repeat and referral share is carrying a book and can bring part of it. One living on floor ups may be the stronger pure salesperson but needs the store's traffic to reproduce the number. One strong on internet and phone is hired into a department where show rate and first response time are the whole conversation.

If you are moving between an independent used lot and a franchise store, name the difference yourself. Franchise floors add manufacturer product certification and a CSI regime; used lots add sourcing and pricing against the market.

Do

Open with units a month and combined gross per unit. Give a store or floor average next to any percentage. Say where your deliveries come from by lead source. Name one real thing about their store from their own inventory pages or hiring advert. Give your CSI with the benchmark and survey return.

Iconly/Bold/Close Square Don’t

Do not open with a lifelong interest in cars. Do not claim back-end product sales as your own. Do not quote a closing ratio without saying whether it is against ups or logged opportunities. Do not hint at coaching customers on survey answers. Do not send the same letter to every store in the group with the name changed.

Statistical insight

Why the published wage figure is the wrong thing to quote

Retail sales workers, the group vehicle salespeople are counted in, held 4,271,400 jobs in 2025 with no projected change through 2035, a decrease of 5,700 jobs, and about 550,600 openings a year, at a median annual wage of $35,560 or $17.10 an hour as of May 2025 (BLS Occupational Outlook Handbook, 2025-35 projections and May 2025 wage data).

The Bureau publishes no separate motor vehicle dealer median for retail salespersons, so there is no official car salesperson wage, and the automobile dealer figure in the Handbook belongs to parts salespersons, a different occupation.

That is why the letter carries your production instead.

Length, format and sending it

One page, four paragraphs, 250 to 400 words. PDF, named for yourself and the role.

Address a person. General sales managers are named on almost every dealership site, and "Dear Hiring Manager" reads as one of twelve letters sent that morning.

Use the same numbers as your resume; a mismatch between the letter and the production table is the fastest way to lose credibility on a page built from numbers. Our car sales resume example is written with the figures used here.

Key takeaways

  1. Open with units a month and combined gross per unit, not an interest in cars.
  2. Put a store or floor average beside every percentage.
  3. Give one change you made with a before, an after and a period.
  4. Say where your deliveries come from by lead source; repeat and referral is your book.
  5. Name one real, current thing about their store.
  6. Close with CSI against the benchmark, your survey return and your start date.
  7. Keep the numbers identical to your resume.

Car sales cover letter questions, answered

How long should a car sales cover letter be?

One page, four paragraphs, 250 to 400 words. Managers read these between deliveries, and a longer letter is not a more serious one.

What do I write with no dealership experience?

Lead with the closest measured thing you have done: retail floor conversion and average sale, or call center contact and appointment rates. Then be specific about what you offer from day one: a full floor schedule including weekends, a follow-up routine you will keep, and accurate paperwork. Stores expect to teach the product; they cannot teach showing up and following up.

Should I put my CSI score in the letter?

Yes, if it is good, with the regional benchmark and your survey return rate beside it. It affects manufacturer money and often the store's own bonus, so it reads as a risk answer as much as a quality one. If it is weak, leave it out.

Do I mention my salesperson license?

Mention it if your state issues one and you hold it, with the expiry, because it means you can be on the floor immediately. California licenses individual vehicle salespeople and Nevada requires an occupational license renewed annually, while other states license only the dealership (California Department of Motor Vehicles, vehicle salesperson license guidance; Nevada Department of Motor Vehicles, packet OBL337, revised November 2024).

How do I write to a store I have not visited?

Spend fifteen minutes on their inventory pages and hiring advert. See how deep the used inventory runs, which franchise they hold, whether they want an internet department or floor consultants, and what complaint repeats in their reviews. One accurate sentence about what they are doing beats a paragraph of praise.
