Application for Board Secretary, Souhegan Valley Regional School District
Dear Ms. Boisvert,
I am applying for the Board Secretary post at Souhegan Valley Regional School District. I have kept the official record for public bodies for fifteen years, first in the Bedford town clerk's office and now as the named custodian of record for a nine-member school board, and I hold a New Hampshire notary commission that covers district affidavits at no outside cost.
The part I would want to bring to Souhegan Valley is the turnaround. When I took the board record in 2021, minutes were going out nine business days after a meeting, against the five business day limit in RSA 91-A. I moved that to three by drafting from a motion template during the meeting rather than writing from audio afterwards, and the board has not missed the statutory window since. In the same period I rebuilt the file plan to 340 record series mapped to the state retention schedule, which let us retire 61 boxes on their first eligible destruction date and recover 340 linear feet of storage.
I read the minutes of your February and April meetings before writing, and I noticed the board has moved to a consent agenda and now posts the packet ahead of the meeting. That is the structure the motion template works best with, and it is also where a records request usually starts, because the packet is what people ask for first. I process 214 requests a year in my current role, logged on receipt, tracked to the response window and redacted exemption by exemption with counsel before release.
My notary commission runs to 2031 and I hold the Certified Administrative Professional credential from the International Association of Administrative Professionals. I am available for the November board cycle and can carry the first meeting from the outgoing secretary's notes if that helps the handover. Thank you for your time.
Sincerely, Odette Chiasson, CAP
Summary
An office secretary cover letter names the record you keep, the schedule or statute you keep it under, and one deadline you measurably improved. This guide gives you a full adaptable letter, the openings that work, what counts as evidence when accuracy is the product, and how the letter changes for a public body, a law firm or a clinic.
Office Secretary cover letter examples by experience level
An office secretary cover letter is a one-page letter telling a hiring manager which record you would take custody of, what rules you keep it under, and what happened to that record the last time it was yours.
The reader has a specific worry. Somebody is leaving, and with them goes the knowledge of where the minutes live, when the packet goes out, and which boxes can be destroyed. A letter that answers it in four sentences stands out.
Guide to an office secretary cover letter
This guide and the corresponding office secretary cover letter example will cover:
- How to structure the letter, paragraph by paragraph
- Why the record and its deadline belong in the first two sentences
- What counts as evidence when accuracy is the product
- How the letter changes for a public body, a law firm or a clinic
How to write an office secretary cover letter
| Paragraph | Its job | Length |
|---|---|---|
| Opening | The post, the record you have kept, and for how long | 2 to 3 sentences |
| Evidence | One record, one deadline, one before and after | 4 to 5 sentences |
| Fit | Something specific, read from their own documents | 3 to 4 sentences |
| Close | Credentials, notary commission, availability | 2 sentences |
Open with the record, not with your interest in the role
Every letter in the folder opens with enthusiasm for the opportunity. Almost none opens with custody.
Write the first sentence as a statement of what you have held: "I have kept the official record for public bodies for fifteen years, first in a town clerk's office and now as the named custodian of record for a nine-member school board."
That tells the reader what they most want to know, which is whether the handover will be short. Follow it with your notary commission, because it is a standing service an employer stops paying for elsewhere.

Openings that work
| Instead of | Use |
|---|---|
| I am writing to express my interest in the secretary position | I have kept the official record for public bodies for fifteen years, most recently for a nine-member board |
| I am highly organized and detail-oriented | Minutes went out in three business days against a five day statutory limit |
| I have experience with filing and records | I rebuilt the file plan to 340 record series mapped to the state retention schedule |
| I would be a great fit for your team | I read your February and April minutes and noticed the board has moved to a consent agenda |
Each right-hand sentence is checkable. In a job where the product is accuracy, write only what a reference call could confirm.
What counts as evidence when accuracy is the product
Nobody gives a secretary a sales figure. The evidence is cycle time, volume and the absence of failures.
| Kind of evidence | What it looks like in a sentence |
|---|---|
| Cycle time | Minutes turnaround from nine business days to three, against a five day limit |
| Volume | 48 public meetings and 31 nonpublic sessions minuted a year |
| Compliance | 214 records requests processed inside the statutory window, none appealed |
| Cleanup | 61 boxes retired on their first eligible destruction date |
| Continuity | Trained front office staff across six schools on notice and request routing |
| Service held | Notary commission used for roughly 190 acts a year |
The public sector letter, and how it differs
For a public body, name the statute you have worked under and its deadlines, because a clerk reading your letter knows what that means. For a law firm, name the courts and filing systems, the docket calendar and any NALS credential. For a clinic, name the correspondence and scheduling work and a credential such as the Certified Medical Administrative Assistant. Read their own posted minutes or documents first and quote one real thing.
Do not describe yourself as detail-oriented; give a deadline you beat instead. Do not claim familiarity with open meeting or confidentiality rules in the abstract. Do not include the name of a case, a student, a patient or a requester anywhere in the letter. Do not send a letter that could go to any of the three settings.
Same occupation, four different pay bands
The Bureau of Labor Statistics puts the median wage for secretaries and administrative assistants at $48,310 in May 2025, with the lowest 10 percent under $35,360 and the highest 10 percent over $77,720 (BLS Occupational Outlook Handbook, May 2025).
Inside that one occupation the May 2025 medians run from $45,930 for medical secretaries and $47,540 for the general category to $55,570 for legal secretaries and $76,590 for executive secretaries and executive administrative assistants (BLS, May 2025).
So the letter is also a claim about which band you are applying into. One that names the statute, the docket or the clinic template is read as a specialist; one that says "provides secretarial support" is read as the general category.
Length, format and sending it
One page, four paragraphs, 250 to 400 words. PDF unless the portal says otherwise, named for yourself and the post: odette-chiasson-board-secretary-cover-letter.pdf.
Address a person. For a public body the clerk, superintendent or business administrator is published on their own site, and "Dear Hiring Committee" on an otherwise specific letter reads as one letter sent to twelve employers.
Keep the figures identical to your resume: a reader who spots a mismatch between two documents about record keeping has learned something they will not ignore. Our office secretary resume example uses the same numbers as the letter above.
Key takeaways
- Open with the record you have held and for how long, not with interest in the post.
- Give one deadline with a before and after, and name the rule that set it.
- Name the statute, the court or the clinical setting, depending on your track.
- Add the notary commission and its expiry; it is a service an employer stops buying elsewhere.
- Quote one real thing from their own posted minutes or documents.
- Never put a case, student, patient or requester name in the letter.
- Address a named person and keep it to one page.

Office secretary cover letter questions, answered
How long should an office secretary cover letter be?
One page, four paragraphs, 250 to 400 words. In a job where the product is a clean document, the letter is read as a work sample rather than as effort.
What do I write if I have never worked in an office?
Write the record keeping you have done elsewhere as though it were the job, because it is the same work at a smaller scale: minutes for a club or volunteer board, a membership register you kept accurate for two years, delivery and mail logs from retail. Then add a typing or transcription score you can cite.
Should I mention a notary commission in the cover letter?
Yes, in the closing paragraph, with the state and the expiry year. It is concrete, verifiable through a state register, and it removes a recurring errand for the employer. If you do not hold one, applying for a commission is among the cheapest ways to strengthen this application.
How do I write to a law firm or a medical practice instead?
Change the evidence, not the shape. A law firm wants court filing formats, the docket calendar, filing volumes and confidentiality practice, plus a NALS credential if you hold one. A practice wants clinical correspondence, scheduling against the clinic template, referral paperwork, and a credential such as the Certified Medical Administrative Assistant from the National Healthcareer Association.
Is a cover letter worth sending when the application is a portal?
Attach one wherever there is a field for it. The portal collects the same structured fields from everyone, so the letter is the only place you can say which record you would take custody of, what deadline you kept it to, and what you would do in the first month.
