An administrative cover letter is a one page letter that tells a hiring manager which administrative job you are applying for, how big the desk you currently run is, and one thing that measurably improved because you ran it.
The difficulty is structural. Administrative work is invisible when it is done well, so the letter has to make the invisible part countable. An office that runs without incident produces no story, only numbers.
Guide to an administrative cover letter
This guide and the corresponding administrative cover letter example will cover:
- How to structure the letter, paragraph by paragraph
- Why the job family belongs in the first sentence
- A full adaptable letter you can rewrite in twenty minutes
- What counts as evidence when nothing dramatic happens in your job
- The openings that get an administrative file read rather than skimmed
How to write an administrative cover letter
ParagraphIts jobLength
- OpeningThe post, the family you are applying into, and the scale you run now2 to 3 sentences
- EvidenceOne process you own, one number, one before and after4 to 5 sentences
- FitSomething specific about this employer and where you would be useful3 to 4 sentences

Say which administrative job you are applying for, in the first sentence
Administrative is not one occupation. General office clerks had a median annual wage of $45,010 as of May 2025, the general detail of secretaries and administrative assistants $47,540, and executive secretaries and executive administrative assistants $76,590 (Bureau of Labor Statistics Occupational Outlook Handbook, May 2025).
Those are different jobs with different readers, and a letter that could have been sent to either is read as having been sent to both.
So write the family in: "I am applying into the executive assistant route rather than administrative work in general, and I have held that job for two years." One sentence, and the reader knows how to read everything after it.
An administrative cover letter example you can adapt
Adaptable administrative cover letter example
Dear Ms. Brossart,
I am applying for the Executive Assistant post in the office of the chief operating officer at Harrow Bridge Health System. I have held that job for two years at a 640 employee orthopedic group, and for six years before it I ran a surgical scheduling desk in the same organization, so I am applying into the executive assistant route rather than administrative work in general.
The part I would bring first is the governance work. I own the agenda, papers and minutes for a nine member operations committee meeting fortnightly, and I moved the papers from same day to three working days ahead, which changed what the committee could decide in the room rather than defer. I also administer a $180,000 discretionary budget and the travel and expense policy for 27 directors, and rebuilding the approval route took the monthly expense close from day 12 to day 6.
Harrow Bridge has published a two year plan to bring its clinic sites onto one scheduling platform. My first six years were on a surgical scheduling desk for 14 physicians, so I know what a migration like that costs a front office and where the authorization work breaks when it goes badly. I would expect to be useful on the reporting behind that program, not only on the calendar in front of it.
I hold the Certified Administrative Professional credential with the Organizational Management specialty, an Iowa notary commission current through 2028, and annual HIPAA training as records custodian for my committee. I can give four weeks of notice. Thank you for your time.
Sincerely,
Meredith Ocampo

The right column is not better writing. It is the same facts with the abstractions removed, which is the only edit most administrative letters need to make.
What counts as evidence in administrative work
Most administrative candidates believe they have nothing to report because nothing went wrong. That is the evidence. It only needs a unit.
Kind of evidenceWhat it looks like in a sentence
- VolumeCoded and entered 210 accounts payable invoices a month across three portfolios
- Cycle timeMoved the monthly expense close from day 12 to day 6
- RetrievalRebuilt an index of 1,400 lease files; retrieval fell from eight minutes to under one
- Error rateOne coding correction in four quarters on a 210 invoice monthly run
- Scale of supportCalendar and inbox for the chief operating officer of a 640 employee group
- ComplianceProvider credentialing calendar with no lapsed privilege in six years
- Something you builtAn intake pack rebuilt as a tracked form; return time nine days to three
Pick two, not seven. A letter with two numbers reads as a person who measures their work. A letter with seven reads as a report.
Heavy replacement hiring is why a specific letter wins
Employment in office and administrative support occupations is projected to decline over the 2025 to 2035 decade while still generating about 1.7 million openings a year on average across the group (Bureau of Labor Statistics Occupational Outlook Handbook, 2025 to 2035 projections, published 27 August 2026).
Underneath that, secretaries and administrative assistants are projected to decline 2 percent with about 314,400 openings a year, and general office clerks 6 percent with about 249,000 a year (same source).
Almost none of that hiring is a new desk. It is a desk someone has just left, usually with a half done handover and a manager covering it themselves. The letter that gets a call says how fast you could take that specific desk over, which is why your systems and volumes belong in the first half of the page.
Length, format and sending it
One page, four paragraphs, 250 to 400 words. PDF unless the employer portal asks for a document file, named for yourself and the post: meredith-ocampo-executive-assistant-cover-letter.pdf.
Address a person. For administrative posts that is usually the office manager, practice manager, director of administration or the executive you would support, and all four are normally findable in ten minutes. A precise file that opens with "To Whom It May Concern" contradicts itself.
Keep the letter and the resume in agreement. Our administrative resume example uses the same figures as the letter above, and a reader who finds two versions of one number stops reading for the right reason.
Do
- Name the exact post and the family in the first sentence.
- Give the scale of the desk you run now in the reader's own unit.
- Use one before and after with a time frame.
- Name one real, current thing about the employer, taken from their own pages.
- State your credential, its body and your notice period.
- Keep the numbers identical to your resume.
Don’t
- Do not describe yourself as organized, detail oriented or a strong communicator; every letter in the folder does.
- Do not list duties that were in the posting.
- Do not send the same letter to a clerk post and an executive assistant post.
- Do not claim confidential detail from a previous employer to prove seniority.
- Do not exceed one page, since the job you are applying for is partly a document handling job.
Key takeaways
- Name the post and the administrative family in the first sentence.
- State the scale of the desk you currently run before anything else.
- Pick two numbers with a before, an after and a period of time.
- Say one accurate, current thing about the employer.
- Close with the credential, the body that issued it, and your notice period.
- Keep every figure identical to the resume it travels with.
- One page, addressed to a named person, sent as a PDF.
The administrative resume example uses the same story, the same numbers and the same header.
Administrative cover letter questions, answered
How long should an administrative cover letter be?
One page, four paragraphs, 250 to 400 words. The document is itself a work sample for a job that involves producing documents, so a letter that runs long makes an argument against you before the reader finishes it.
Do I need a cover letter if the application is a portal form?
Attach one wherever there is a field. The portal takes the same structured data from every applicant, so the letter is the only place to say which administrative family you are applying into and how big the desk you run now is.
What do I write with no administrative experience yet?
Write the closest thing you have as administrative work, because most of it was. Retail, hospitality and student jobs produce call volumes, cash accuracy, rota changes, complaint handling and turnaround times. Give two of them numbers, name the software by product, and apply to the clerk family.
Should the cover letter repeat what is on my resume?
It should use the same facts and make a different argument. The resume proves you have done the work. The letter says which of that work is relevant to this specific desk, and why you could take it over quickly. Repeating the resume in sentences is the most common way an administrative letter wastes its page.
How do I write about confidential work without breaching it?
Describe the shape and the scale, never the content. "Records custodian for a nine member operations committee" and "handle board material ahead of publication" tell a reader everything they need about your level of trust. Naming an actual matter, patient, client or decision proves the opposite of what you intended.
